Executive Assistant to Medical Staff
Are you passionate about making a difference in healthcare while applying your expertise in strategic administrative support as the executive assistant to medical staff? The Wyoming State Hospital is seeking a detail‑oriented and compassionate executive assistant to join our team.
As the Executive Assistant to Medical Staff, you will provide high‑level administrative and strategic support to the Medical Staff and the Psychology Department. You will streamline operations, manage sensitive schedules, and ensure regulatory compliance to maintain high‑quality compassionate care. Your work supports the mission to improve lives and make a meaningful impact in the community.
Responsibilities- Responsible for senior administrative management of day‑to‑day operations for the medical staff and psychology department, assigned programs or projects; may provide leadership and guidance to administrative staff.
- Act as liaison between medical director, division administrators, and program managers to coordinate calendars for meetings and conference calls.
- Provide instruction on office policies, procedures, and rules.
- Attend, take minutes, and prepare necessary records for meetings.
- Receive, analyze, and respond to requests for information.
- Compile and analyze a variety of data and information and prepare related reports.
- Investigate customer complaints and take steps necessary to resolve them.
- Explain program requirements and interpret policies.
- Track information and administer database for information.
- Prepare routine response/notification letters.
- Prepare routine on‑call schedule for medical staff.
- Update and keep track of necessary medical licenses.
- Input PAI for psychology into the database.
- Create and manage requests for medical interns.
- Direct workflow of the office and coordinate a variety of advanced, diversified and/or confidential administrative support functions.
- Conduct research related to the specific project or program.
Minimum Qualifications: Bachelor’s Degree (typically in Business).
Experience: 0‑1 year of progressive work experience (typically in Business Office Communications) or 3‑4 years of progressive work experience with acquired knowledge at the level of an Office Support Specialist II.
Preferences: Experience with exceptional organizational skills, interpersonal skills, Microsoft software, Google, and 60‑80 WPM typing.
Knowledge: Knowledge of Microsoft Suite and Google.
