OverviewWe are seeking a highly organized and proactive Office Manager to oversee daily administrative operations within our dental office. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a comprehensive understanding of office management practices. This role is essential in maintaining efficient workflows, supporting staff, and ensuring exceptional patient service. Additionally, we are seeking an individual that has a growth mindset, is excited to grow the practice and the team.
Duties- Manage front desk operations, including greeting patients, scheduling appointments, and handling patient inquiries with professionalism and courtesy.
- Oversee multi-line phone systems to ensure prompt and effective communication with patients, vendors, and team members.
- Maintain accurate records through data entry, filing, and document proofreading to support administrative functions.
- Utilize software tools such as Quick Books, Microsoft Office, and Google Workspace for billing, bookkeeping, and administrative tasks.
- Coordinate calendar management for the dental team, including scheduling appointments and reminders to optimize daily workflow.
- Provide exceptional customer support by addressing patient concerns promptly and maintaining high standards of phone etiquette.
- Supervise clerical staff and assist with office management duties to foster a productive work environment.
- Ensure compliance with office policies and procedures while maintaining a clean, organized workspace.
- Meet with corporate partners to strategize over key performance indicators.
- Attend any and all training specific to this role.
- Work with Dr.s to increase quality of care and positive patient outcomes.
- Proficiency in Quick Books, Microsoft Office Suite (Word, Excel), and Google Workspace applications.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent written and verbal communication skills.
- Experience with front desk operations, multi-line phone systems, and office management practices.
- Knowledge of clerical tasks such as data entry, filing, proofreading, and calendar management.
- Familiarity with customer service principles, phone etiquette, and administrative procedures within healthcare or dental settings.
- Ability to handle bookkeeping responsibilities using Quick Books or similar accounting software.
- Previous experience in medical or dental receptionist roles is preferred; personal assistant or medical receptionist experience is advantageous.
