Location:
Evanston, Illinois.
Hours:
Monday‑Friday, 8am‑4:30pm. Travel: based upon department need.
The Administrative Assistant III will provide advanced administrative support to the executive team and senior management of the hospital. This role requires a high level of professionalism, discretion, and the ability to handle complex tasks in a dynamic healthcare environment.
Responsibilities- Serve as the primary point of contact for hospital executives, managing schedules, correspondence, and communications.
- Coordinate and manage appointments, meetings, and conference calls, ensuring efficient use of executive time.
- Draft, edit, and proofread executive‑level emails, memos, reports, and other documents, ensuring professionalism and alignment with executive objectives.
- Maintain and update electronic health records (EHR) and hospital databases with accuracy and adherence to healthcare regulations.
- Generate and compile reports, data analyses, and presentations for executive decision‑making.
- Collaborate with executives on special projects and strategic initiatives, conducting research, data analysis, and presenting findings.
- Process invoices, monitor spending, and reconcile financial statements for the executive team.
- Oversee office operations and supplies, ensuring smooth day‑to‑day functioning.
- Provide guidance and support to lower‑level administrative staff, fostering professional growth.
- Assist in onboarding new administrative team members and contribute to their training.
- Handle sensitive and confidential information with utmost discretion and professionalism.
- Bachelor's degree (preferred).
- 3+ years of administrative experience, preferably in a healthcare or hospital setting.
