About the RoleWe are seeking a highly skilled and proactive Executive Assistant to provide top‑tier administrative support to department leaders within our A&A group. This role is ideal for a detail‑oriented professional who thrives in a fast‑paced environment, anticipates needs, and ensures operational excellence.
The Executive Assistant will manage complex calendars, schedule internal and external meetings, coordinate travel arrangements, prepare meeting materials, handle confidential information, and support a variety of special projects. This individual will serve as a trusted partner and key point of coordination—helping leadership stay informed, organized, and prepared.
Key Responsibilities- Plan, coordinate, and monitor executive calendars.
- Maintain schedules and assist with day‑to‑day time management.
- Schedule, confirm, and organize internal and external meetings.
- Coordinate travel logistics and itineraries.
- Maintain and manage confidential documents.
- Schedule and support client meetings as needed.
- Prepare agendas, materials, minutes, and follow‑up actions for meetings.
- Ensure effective use of video conferencing and timely meeting execution.
- Draft correspondence and handle sensitive communications.
- Keep department heads informed of priorities, commitments, and relevant issues.
- Prioritize competing demands and manage projects to completion under pressure.
- Manage and support special projects assigned by leadership.
- 3–5 years of administrative experience supporting managers or executives, preferably in a professional services environment.
- Proven ability to handle confidential information with discretion.
- Strong interpersonal skills and emotional intelligence.
- Exceptional problem‑solving and decision‑making abilities.
- Ability to work independently, manage priorities, and meet deadlines.
- Outstanding organizational skills and high attention to detail.
- Excellent written and verbal communication abilities.
- Strong collaboration skills and ability to build internal/external relationships.
- Advanced proficiency in Microsoft Office Suite and ability to learn new technologies quickly.
- High School Diploma required;
Associate Degree preferred;
Bachelor’s degree a plus. - General understanding of financial and accounting practices preferred.
- Exhibit a professional appearance and demeanor when interacting with clients and coworkers.
