We are seeking a dependable, highly organized, and motivated Office Assistant to provide general administrative and office support. This position requires excellent communication, organizational, and customer service skills, along with the ability to manage multiple priorities in a fast-paced office environment.
The ideal candidate is detail-oriented, professional, able to work independently, and comfortable communicating with clients, visitors, vendors, and team members. This position will also handle confidential and sensitive information and requires professionalism, discretion, and sound judgment.
Key Responsibilities- Greet and assist guests and visitors, providing a professional and welcoming experience.
- Answer, screen, and route incoming telephone calls to the appropriate staff member.
- Respond to routine questions regarding services, products, directions, and general office information.
- Notify management of customer service concerns, safety issues, or other matters requiring attention.
- Assist with carrying and moving monitors and other equipment when needed.
- Assist with shipping and receiving, including preparing packages, receiving deliveries, and maintaining related records.
- Maintain organized and up-to-date electronic and paper files, records, and service sheets.
- Perform data entry, typing, scanning, copying, filing, and document preparation.
- Proofread documents and correspondence for accuracy.
- Assist clients and staff with gathering and organizing information needed for office operations.
- Provide general administrative support to office staff and management.
- Maintain a professional, organized, and welcoming office environment.
- Handle confidential and sensitive information appropriately and maintain discretion at all times.
- Perform other administrative duties as assigned.
- High school diploma or equivalent.
- Proficiency with Microsoft Office, including Word and Excel
. - Strong verbal and written communication skills.
- Clear, professional, and courteous telephone manner.
- Strong organizational skills and attention to detail.
- Ability to prioritize and manage multiple tasks while maintaining accuracy.
- Ability to operate standard office equipment, including telephones, copier/scanner, and computer systems.
- Ability to work independently while also functioning effectively as part of a team.
- Professionalism, poise, tact, and diplomacy when interacting with clients, visitors, and coworkers.
- Ability to handle confidential and sensitive information with discretion.
- Dependable attendance and ability to maintain a consistent work schedule.
- Six months or more of general office, receptionist, customer service, or administrative support experience.
The successful candidate will be professional, dependable, and highly organized with strong attention to detail. They should be comfortable interacting with a variety of people, managing competing priorities, and providing excellent customer service while supporting the overall needs of the office.
