This is an 8‑hour per day, 208‑day Administrative Assistant III position with benefits at ACES High School, anticipated start date August 10, 2026.
Hours:
6:30 a.m. – 3:00 p.m.
- Previous experience as a secondary school administrative assistant preferred.
- Bookkeeper, health room coverage, first aid/CPR trained, testing coordinator.
- Associate’s degree or additional business training preferred.
- Proficiency in Microsoft Office (Word, Excel).
- Strict adherence to confidentiality concerning student and staff information.
- Diplomacy and a welcoming, patient demeanor when dealing with students, parents, and staff.
- Ability to adapt to changing priorities in a fast‑paced environment.
- JOB TITLE: Administrative Assistant III – Secondary
- CLASSIFICATION: Office/Accounting - MACP
- REPORTS TO: Principal
- JOB SUMMARY: The Administrative Assistant III coordinates the operation of the school office, providing clerical services for the principal and support for staff, students, parents, and community members.
- Provide secretarial services: letter composition, scheduling appointments and conferences, analysis of information, maintenance of databases, preparation of district reports, sorting and distributing mail.
- Data entry, copy, collate, sort, and file documents, including use of Parent Square and the school webpage.
- Establish and maintain professional interactions with students, staff, parents, and the general public; greet the public, answer phones, assist with student and staff needs, and respond to inquiries.
- Develop and maintain an organized office: record management, effective filing system, accessibility of information, prioritization of tasks, and compliance with district policy and state guidelines.
- Assist with front desk coverage to maintain continuity of office services.
- Process and manage supply orders, distribution, and inventory; maintain and rotate inventories regularly.
- Assist the principal with scheduling building personnel and substitute employees for special events and activities; coordinate parent and community volunteers.
- Work with the substitute services facilitator to schedule substitute employees daily.
- Maintain records of all employee absences; collect and verify timesheets; submit to payroll on a regular basis.
- Assist the principal with scheduling use of school facilities by community members and organizations.
- Provide first aid to injured or ill students; may track and dispense authorized student medication as required.
- Support administration with daily building needs including maintenance and emergency drills.
- Implement and comply with District policies.
- Maintain consistent attendance and adhere to regular work hours.
- Fulfill other duties as assigned by the supervisor.

- Accuracy and attention to detail.
- Basic math and writing routine documents with correct spelling, grammar, and punctuation.
- Ability to operate office equipment (telephone, computer, typewriter, calculator, copier, media equipment).
- Word processing accuracy at 60 words per minute.
- Knowledge of and ability to use various software programs related to job responsibilities.
- Ability to complete multiple tasks simultaneously with frequent interruptions.
- Ability to maintain consistent presence at the assigned worksite and regularly work assigned hours.
- High school diploma or its equivalent.
- College degree and/or additional training beyond high school preferred.
