Office Administrator/ Coordinator
Position Overview
We are hiring four (4) temporary Energy & Weatherization Assistant I employees for the Weatherization Program. The role supports applicants and staff in implementing weatherization projects and onsite distribution of equipment. The successful candidate will use administrative practices and programmatic skills to guide customer interactions, manage documentation, and assist with program execution.
Key Responsibilities- Assist clients in person and by telephone in completing forms, reviewing for accuracy, and requesting additional information as needed.
- Calculate eligibility and answer questions regarding program requirements.
- Respond to telephone inquiries and route calls to the appropriate party.
- Review client files to ensure all documents are signed and completed per contract compliance.
- Provide information and referral to community service agencies.
- Enter client and program data into the computer using specialized formats.
- Receive, route, and, if necessary, deliver incoming mail; maintain a mail log.
- Provide client training in energy conservation and assist clients with budget counseling.
- Schedule phone interviews and assist elderly, handicapped, and homebound clients with eligibility assessments.
- Assist with appointment scheduling and perform related duties as required.
- One (1) year of experience in Energy/Weatherization programs performing office work, interviewing, and computer use; or an equivalent combination of training and experience.
- Must pass job‑related tests.
- Valid Washington State driver’s license; or ability to obtain one within 30 days of employment.
- Ability to perform a two‑person lift of 50 lbs. multiple times a day.
- Experience with the LIHEAP Energy Assistance Program.
- Experience working in low‑income or grant‑funded programs.
- Proficient with computers, data entry, and standard office software (Microsoft Word, Excel).
- Familiarity with standard office practices and procedures.
- Knowledge of human services client protocol, interview techniques, confidentiality, and professional conduct.
- Ability to perform mathematical computations, communicate effectively with diverse populations, and learn complex rules and regulations.
- Excellent written and verbal communication skills.
- Ability to read, interpret, and enter data accurately and quickly.
- Organized work habits, tracking forms and applications, and maintaining accurate records.
- Self‑directed work in a fast‑paced environment with minimal supervision.
- Administrative duties performed under the direction of a technical Lead Energy & Weatherization Assistant III and supervised by a Human Services Specialist III or designated administrator.
Work is performed primarily in an office setting with occasional field work assisting clients. The role requires working approximately 25 hours per week; temporary employees may not exceed 1,040 hours in a 12‑month period.
