What You'll Do

  • Manage daily front desk operations and administrative support at the Everett Regional Center.
  • Ensure continuous staffing, including openings, closings, lunch breaks, and preparation for unexpected absences.
  • Answer and direct all phone calls and emails in a professional and friendly manner.
  • Greet and assist community members, clients, donors, and vendors, maintaining high customer service standards.
  • Maintain and organize the front desk, lobby/reception, back‑office, and all common areas.
  • Ensure the office is stocked with necessary supplies and water.
  • Order office, housekeeping, printing, and safety maintenance supplies for Snohomish County.
  • Coordinate and manage vendors.
  • Perform word processing, data entry, scanning, and copying.
  • Accurately keep and update data regarding Sonitrol pin #’s and key usage for staff; serve as point of contact for Sonitrol.
  • Monitor the video surveillance system at the front desk.
  • Serve as point of contact for the YWCA IT Department; troubleshoot and maintain on‑site computer, telephone, and copier equipment, submitting tickets when needed.
  • Process incoming and outgoing mail daily; ensure interoffice mail is delivered on time.
  • Monitor grounds of the ERC, ensuring exterior lights, parking lot, and flower beds are maintained; submit maintenance tickets as necessary.
  • Accept donations for processing, complying with YWCA accounting, cashiering, receipting, audit, and fiscal controls.
  • Receive and document payments, fees, and donations.
  • Provide administrative support to the Shelter Plus Care Program, completing program participant correspondence and birthday cards as assigned.
  • Keep emergency information updated for all Snohomish County staff and volunteers.
  • Adhere to all Volunteer Services protocol regarding volunteer usage and monitoring.
  • Continue to develop understanding of racial, gender, and class equity; assure clients, residents, staff, volunteers, and community partners are treated with respect and dignity regardless of background.
  • Occasionally complete accounts payable by preparing and processing vendor invoices as assigned by the Financial Analyst.
  • Provide administrative support to managers and directors when necessary.
  • Support the YWCA’s Social Justice Initiative by understanding how oppression plays out in institutions and systems.
  • Provide culturally relevant conflict resolution and problem‑solving strategies.
  • Perform other duties as assigned.
Qualifications
  • AA in a related field or equivalent combination of education and experience.
  • Minimum of one year of office support experience, including word processing and reception duties.
  • Strong knowledge of Word, Excel, Outlook, and all computer functions required by the agency.
  • Attention to detail and strong organizational and record‑keeping skills.
  • Excellent communication skills with clients, staff, and the general public.
  • Strong customer service orientation, including the ability to work with a diverse cultural and economic clientele.
  • Commitment to working with homeless families and ability to communicate effectively and compassionately with clients in crisis.
  • Ability to maintain confidentiality.
  • Ability to work independently as well as in a team environment.
  • Ability to lift and carry up to 35 lbs.
  • Typing 10‑key skills and math aptitude are a plus.
  • Commitment to diversity and social justice.
  • Experience working with communities of color and people from diverse cultures.
  • Demonstrated understanding of the intersection of racism and poverty.
  • Knowledge of issues surrounding homelessness, domestic violence, racism, poverty, substance abuse, mental illness, and affordable housing.

  • Ability to project a positive image of the agency to the public.
  • Reliable transportation.
