Overview

We're looking for an Office Assistant 1 (OA1) to join our clerical team and provide exceptional support to our office and staff in South Bend. If you are skilled in offering advanced assistance and have a natural ability to stay organized and flexible, we encourage you to apply!

Responsibilities
  • Check copy machines for paper and refiling, change toner
  • Clean and restock supplies in the copy area
  • Send faxes and distribute incoming faxes
  • Upload documents into Famlink
  • Send out dependency court hearing notices to caregivers and scan files
  • Prepare outgoing files and mail
  • Frequent travel to the post office to pick up mail
  • Distribute mail to staff mailboxes
  • Make packets for permanency, placement, foster parent, home visit, and background check applications
  • Recycle cardboard and empty the recycling bins
  • Occasional travel to the local car wash and gas station to assist with the maintenance of state vehicles
  • Answer multi-line phones and transfer calls
  • Greet and assist clients and visitors
  • Sign for deliveries
  • Take messages for staff and convey messages to and from staff to clients
SESG Program Requirements
  • Have a developmental disability or significant disability as defined in the Rehabilitation Act of 1973 that seriously limits one or more functional capacities in terms of an employment outcome; AND require supported employment on-the-job training and long-term support to satisfactorily perform job duties; AND provide an ongoing source of long-term support to perform the duties of this position.
  • Required Qualifications
    • Six (6) months of clerical work experience OR equivalent education and experience
    • The ability to take action to learn and grow
    • The ability to take action to meet the needs of others
    • Eligibility for the SESG Program as defined above
    • Minimum of at least two years of driving experience and a valid driver’s license
    • Completion of formal training courses as required by law, policy, and regional requirements within one year of appointment
    • Academic degrees obtained from an accredited college or university recognized by the U.S. Department of Education and CHEA, or a foreign equivalent verified by a NACES-approved organization. Foreign equivalency certification must be attached to application.
    Preferred Qualifications
    • Demonstrated ability to operate a computer and learn new programs
    • Demonstrated ability to operate office equipment to complete daily tasks
    • Demonstrated ability to maintain confidentiality
    • Demonstrated ability to communicate effectively and in a professional manner with clients, community partners, and the general public
    • Demonstrated ability to remain calm when interacting with hostile clients
