Role DescriptionThis is a full-time position on site in Everett, WA. The Assistant Manager - Administrative & Billing will provide administrative and operational support for our growing Washington branch.
Billing will be the primary focus of this position. The individual will be responsible for accurately and efficiently processing billing, reviewing supporting documentation, maintaining billing records, identifying discrepancies, and helping ensure completed work is invoiced correctly and in a timely manner.
Because billing accuracy directly impacts both our customers and our operations, this position requires someone who is meticulous, highly organized, efficient, and exceptionally attentive to detail
. The successful candidate should be comfortable working with a high volume of information while maintaining accuracy and following established processes.
In addition to billing responsibilities, this position will assist with a variety of administrative and office activities as business needs require. Responsibilities may include maintaining records, preparing reports and documentation, coordinating schedules and meetings, managing correspondence, assisting with project documentation, and supporting day-to-day office operations.
The position will work closely with management, field personnel, customers, and other departments to ensure information is communicated accurately and administrative processes remain organized and efficient.

- Ability to process billing and administrative work efficiently while maintaining a high degree of accuracy.
- Strong organizational and time-management skills with the ability to prioritize multiple responsibilities and deadlines.
- Ability to review documentation, identify discrepancies, and follow through until issues are resolved.
- Comfortable working with numbers, invoices, work documentation, and detailed records.
- Strong written and verbal communication skills.
- Ability to work independently, take ownership of assigned responsibilities, and recognize when additional information or clarification is needed.
- Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook, and the ability to learn company-specific billing and office management systems.
- Professional and collaborative approach when communicating with customers, field employees, management, and other departments.
- Previous experience with billing, invoicing, accounts receivable, accounting support, or administrative operations is strongly preferred.
- Experience in construction, service, trades, or another field-service environment is beneficial but not required.
- Previous leadership or supervisory experience is beneficial but not required.
- Bachelor's degree in Business Administration, Accounting, Management, or a related field is preferred; equivalent relevant work experience will also be considered.

- Salary $60,000-$80,000 depending on experience
