Position Responsibilities
- Helps the organization operate seamlessly and efficiently.
- Promotes operational excellence by managing the operating rhythm, logistics, planning and other key deliverables.
- Responsible for scheduling and coordinating key program meetings, managing action items and meeting minutes, and collecting, organizing, and developing data for use by the organization.
- Generates, maintains, and analyzes data that enables the team to run the organization, including performance to plan information from various cross‑functional teams, budget information, workforce levels, training requirements, and facilities requirements.
- Monitors and tracks execution of plans while communicating status to executive leadership and project participants.
- Facilitates numerous meetings including but not limited to weekly Business Plan Reviews (BPRs), Special Attention Meetings (SAMs), and Staff Meetings.
- Develops executive‑level presentations for use with internal and external customers.
- Develops, coordinates, and assesses the architecture of meeting content and leadership briefings.
- Provides strategic design, logistics, and facilitation of large meetings and events with teams and customers.
- Experience with Microsoft Office Suite and Microsoft (MS) Teams.
- Experience with meeting facilitation post‑meeting – taking and following up on action items from meetings, running meetings, sending out summaries afterwards.
- Level 3: 6+ years of related work experience or an equivalent combination of education and experience.
- 6+ years of experience collecting data from multiple sources, performing analysis, and presenting data.
- 6+ years of experience utilizing Microsoft Office applications.
- Experience facilitating meetings and presenting to senior leaders.
- Applicable and appropriate educational/certification credentials from an accredited institution and/or equivalent experience.
- Experience collecting, organizing, synthesizing, and analyzing data to summarize findings, develop conclusions and recommendations from appropriate data sources at the work‑group level.
- Experience creating executive‑level briefings.
- Experience working with and communicating to employees, customers, peers, and multiple levels of leadership.
- Experience developing plans for long‑range strategies and organizational priorities.
- Strong communication skills communicating to peers, leadership, stakeholders, and customers.
- Experience building positive relationships, collaborating effectively, and communicating clearly.
- Experience preparing executive‑level briefings and presentation material.
- 3+ years of experience with program management best practices including baseline management, performance metrics, customer communications, requirements management, supplier management, and/or earned value management, executive support and preparation.
- 5+ years of experience with program management best practices including baseline management, performance metrics, customer communications, requirements management, supplier management, and/or earned value management, executive support and preparation.
- Typical education & experience:
Education/experience typically acquired through advanced education (e.g., Bachelor) and typically 6 or more years of related work experience or an equivalent combination of education and experience (e.g., Master + 4 years of related experience, 10 years of related experience, etc.).
