The Health Information Specialist operates in a team with other clinic support staff and healthcare providers. The Specialist is responsible for distributing and filing patient health information, maintaining a list of charts in archives, retrieving charts when needed, processing releases of information (ROIs), assisting with chart audits and quality reviews, responding to EHR tasks and telephone calls, and assisting patients regarding health information in a timely manner.
The Specialist ensures that releases of information comply with CHC policy, HIPAA guidelines, and documents all communications with patients in the EHR.
- Maintains a list of charts in archives; retrieves charts when needed.
- Receives and processes the release of medical information (ROIs) timely and ensures compliance with CHC policy and HIPAA.
- Sorts and stamps outgoing mail; monitors postage meter to track expense.
- Scans signed and completed paperwork into the electronic health record (EHR) according to filing protocol.
- Receives and distributes mail and faxes to appropriate clinic staff.
- Assists with data collection for chart audits and quality reviews as assigned.
- Responds to EHR tasks and telephone calls and assists patients regarding health information in a timely manner.
- Requests health information in a timely manner from other clinics and/or agencies.
- Documents all communications with patients in the EHR.
- Cross‑trains and performs Medical Receptionist duties as needed and assists other departments when called upon.
- Adheres to the organizational infection control plan and written policies.
- Adheres to attendance standards to perform daily operations and continuity of patient care.
- Reads, speaks, understands and writes proficiently in English.

- Proficiency with Microsoft Office applications:
Word, Excel and Outlook.
- Bilingual skills.
- Knowledge of medical and dental terminology.
- Post‑high school education in office/clerical coursework.
- Experience in a multi‑provider medical practice.
- Experience with healthcare information systems, such as electronic health records and practice management systems.
- Registered Health Information Technician (RHIT), Registered Health Information Administrator (RHIA) or Certified Coding Specialist (CCS) by the American Health Information Management Association.
- High school graduate or equivalent.
- Customer service experience working with the general public (≥ 1 year).
