Sea Mar Community Health Centers is a Federally Qualified Health Center (FQHC) founded in 1978 that provides comprehensive health, human, housing, educational, and cultural services to diverse communities, specializing in service to Latinos in Washington State. Location: Salmon Creek - Vancouver Medical/Dental Clinic
Hourly Rate: $19.25, $19.97 effective 01/01/2024
Schedule: Full-time
We are looking for a customer‑service oriented candidate to function as a full‑time receptionist for our Salmon Creek – Vancouver Medical/Dental Clinic. The role requires cross‑training in both Medical and Dental operations and should be familiar with basic office software and multitasking.
Duties and Responsibilities- Maintain a clean, safe work space and patient area.
- Perform all daily front‑desk activities to ensure completion.
- Answer the telephone and assist callers.
- Schedule and confirm patient appointments according to the Front Desk Manual.
- Maintain an average daily registration schedule of 21 patients per MD provider and 18 patients per ARNP/PA provider (or 70 phone calls, depending on role).
- Assist the medical/dental records department with scanning, queuing/indexing, sorting, filing, and pulling charts as needed.
- Distribute and screen all incoming and outgoing mail.
- Maintain a 100% collection rate by collecting patient account payments and balances.
- Assist patients in filling out registration forms and accessing health services.
- Inform patients about other Health Centers and community services.
- Accurately enter patient demographic information into the practice management system.
- Demonstrate knowledge and skills appropriate for the age of patients served.
- Work with back‑office team to address Clinical Quality Measure gaps.
- Support other staff as needed; teamwork is essential.
- Greet patients upon arrival with a smile and offer assistance; acknowledge each call within 3 rings.
- Address each patient by last name.
- Use a professional greeting: "Good morning/afternoon, Sea Mar Community Health Centers, this is _____, how may I direct your call?"
- Never place a call on hold longer than 2 minutes without checking in with the patient.
- Adhere to schedule and be ready to provide services by 8:00 AM each day.
- Use AIDET skills when interacting with providers.
- Complete quality care gaps for 100% of patients treated.
- Serve a minimum of ten patients a day.
- Support Follow My Health enrolment.
- Close chart notes within 24 hours of service.
- Maintain an average of 21 patient visits a day per MD provider and 18 visits per ARNP/PA provider.
- Minimum one year of experience in a medical setting.
- Knowledge of medical terminology is preferred.
- Proficient with Windows, Word, Excel, and typing skills are required.
- Excellent verbal, customer service, and written communication skills.
- Strong organizational skills.
- High School Diploma or GED required.
- Bilingual in English/Spanish or English/Russian is preferred but not required.
