Everett, WA – Hospital Medicine Practice Administrator
Police the business operations of the organization, acting as the liaison between site leadership, the hospital, and our practice partners. This role provides direct, executive support to medical directors and the provider team, overseeing financials, compliance, recruitment, and day‑to‑day operational excellence.
Responsibilities- Act as the operational administrator for Vituity leadership and the interface between the practice, the hospital, and the community.
- Serve as the front‑line liaison for the provider team with hospital C‑Suite, nursing leadership, nursing staff, and Vituity support.
- Provide executive support to the site medical director and site management team to meet contract expectations.
- Manage site financials, including contract stipends, expense reimbursements, and payroll timecards.
- Act as the super user for all Vituity software applications and serve as the point person for hospital software and hardware systems.
- Assist providers in legal matters such as subpoenas, depositions, trial testimony, fee schedules, and malpractice carrier coordination.
- Oversee office management, including meeting coordination, office systems, supplies, site events, and customer service.
- Facilitate daily patient census, attend multidisciplinary rounds, and ensure clinical scheduling coverage.
- Collect, track, and analyze all site financial and operational data.
- Manage project initiatives such as Operations Meetings, Patient Experience Program, Quality/Performance Improvement Program, Advanced Provider and/or Scribe Programs, and Student or Resident rotations.
- Lead recruiting, onboarding, and credentialing for new providers, employees, locums, reservists, residents, and students.
- Ensure licensed providers complete recredentialing and required certifications for Vituity and the hospital Medical Staff Office.
- Maintain compliance with Vituity, hospital programs, and mandated training requests.
- Serve as the point person for Vituity People Operations (Human Resources) relations, ensuring accurate roster and employment law compliance.
- Develop and maintain site orientation checklists and manuals.
- Collaborate with the Medical Director and Site Management Team to develop and maintain site practice policies and procedures.
- Handle medical records and data submission to Revenue Cycle Management, ensuring accurate charge capture and follow‑up notices.
- Ensure billing and documentation compliance through WIP/TAD lists, provider queries, and monthly meetings with the billing team.
- Complete mandated forms and requests such as death certificates, physician office requests, State Workers Compensation and Motor Vehicle Department reporting, and pharmacy requests.
- 2‑3 years of experience in an office or healthcare setting.
- Associate or Bachelor’s degree in Business Administration, Human Resources, or a related field strongly preferred.
- Experience with in the healthcare field is preferred.
- Knowledge of healthcare and medical terminology.
- Knowledge of general Human Resource principles.
- Knowledge of Federal, State, and County Agencies regulating the Healthcare Industry.
- Intermediate to advanced MS Excel, Word, PowerPoint, and Outlook skills.
- Strong consultation skills with the ability to seek out information.
- Strong work ethic, organizational and interpersonal skills.
- Ability to prioritize and work in a stressful environment.
- Self‑directed, motivated, and deadline‑conscious.
- Effective verbal and written communication skills.
- Ability to create a positive environment and promote the Vituity image.
