Job Description
Patient Services Specialist (Patient Services Specialist
3) – UW Medicine Northwest Urology Clinic, McMurray Building.
Full‑time, 40 hours per week, daytime shift Monday–Friday 8:30 am–5:00 pm. Work is performed at the UW Medicine Northwest Urology Clinic in the McMurray Building.
Responsibilities- Coordinate and provide clinic front‑desk patient support, reception, and discharge activities, including checking in patients, performing initial triage, and managing the referral process.
- Schedule appointments and pre‑register patients, maintaining patient safety and reducing the likelihood of medical/health‑care errors.
- Maintain a clean, organized, professional work area and perform related duties as assigned.
- Create Epic orders and referrals for scheduling radiology exams, including exam‑specific CPT and ICD‑10 codes, and update patient demographics, guarantor accounts, and insurance payors.
- Participate in process‑improvement projects, such as facilitating work‑group efforts to increase daily throughput of Epic work‑queue orders and identify workflow efficiencies.
- Assist in training new staff, act as a subject‑matter expert for scheduling modalities, and troubleshoot Epic errors.
- Audit online ticket scheduling appointments for accuracy of order placement and referral completion.
- Analyze reports (No‑Show, Cancellation, Wait‑list, Online Scheduling) to perform patient follow‑up and reduce revenue loss.
- Collaborate with Supervisor and Business Manager to capture work‑group behavior and provide solutions for complex workflow inefficiencies, including external referral submissions, financial access/pay‑or authorization, imaging protocoling and coding changes, and patient access to services.
- Respond to patient needs and concerns while maintaining a patient‑first mentality.
- Develop and maintain good working relationships within the department, with other departments, and among medical staff.
- Perform other duties as assigned.
- High‑school graduation or equivalent.
- Two years of experience as a Patient Services Specialist 2 (or equivalent combination of education/experience).
- Other education or experience may substitute for the minimum qualifications, except where legal requirements apply.
Pay range: $27.11 – $39.37 per hour.
