Medical Secretary.
Responsibilities- Register patients and check‑in for outpatient appointments, collect co‑pays, and schedule follow‑ups.
- Coordinate referrals to internal and external healthcare providers.
- Enter and maintain data in the Electronic Medical Records (EMR) system.
- Communicate and collaborate with outpatient clinicians to support and enhance patient care.
- Conduct other duties as assigned.
- Greet clients professionally and advise the appropriate provider of specific client issues.
- Answer the phone promptly and courteously, respond to requests and handle crisis calls in a timely manner.
- Accurately take and route messages; assist callers to obtain satisfactory responses.
- Schedule clients using critical thinking skills to assign the appropriate provider and fill open time slots.
- Contact new clients to encourage compliance and enhance the client experience.
- Screen calls as appropriate and communicate with patients and provider offices in a professional manner.
- Register clients accurately and efficiently; complete all aspects of the check‑in process, considering client age, financial issues, and special needs.
- Maintain a confidential, safe, client‑focused office; preserve confidentiality of questionnaires and signed forms in the EMR.
- Distribute messages and mail in a timely and accurate manner; respond to referrals from physicians, courts and other professionals.
- Contact insurance companies for authorization, log pre‑authorization and insurance information, and follow up on insurance problems.
- Verify insurance electronically or by phone; follow up on documentation requirements.
- Collect copayments and payments, apply funds to the appropriate account, and identify problems to the Clinic Manager or Supervising Coordinator.
- Maintain documents and supplies for providers and ensure timely delivery of information.
- Maintain messages and documents in the EMR; process requests for Protected Health Information (PHI) in compliance with local, state and federal guidelines.
- Assist in preparing records for Kent Records, call for, and return records accurately and promptly.
- Support quality improvement activities, participate in learning experiences, and ensure compliance with policy, procedure and regulatory requirements.
- Maintain patient rights, confidentiality and ethical billing practices; identify communication needs of referral sources.
- Run reports as required, assess data and take action steps when indicated.
- High School Diploma or GED required.
- Graduate of a Medical Administrative Assistant program preferred.
- 1–2 years of customer service experience required.
- Previous experience working in a medical office setting preferred.
- Previous computer experience preferred (Microsoft Office).
- Previous experience with Electronic Medical Records (EMR) and data entry preferred.
- Bilingual preferred.
- Employment type:
Full time. - Shift: Monday–Friday, 8‑hour shifts.
- Weekly scheduled hours: 40.
- Weekend requirements:
None. - Wage range: $16.39–$22.95.
