Summary

The Site Supervisor is responsible for the daily oversight and support of Supported Living Services within designated programs assigned to them. This role ensures that the individuals supported are provided with safe, high‑quality, and person‑centered care in their residential settings. The Site Supervisor’s primary duties include supervising Direct Support Professionals (DSPs), maintaining regulatory compliance, training staff, managing labor hours, and ensuring client needs and preferences are continuously met.

Essential Duties and Responsibilities
  • Oversee the day‑to‑day operations of assigned residential programs, supervising assigned employees to ensure smooth and consistent support for clients in accordance with their plan (PCSP, IISP, FA/PBSP, HSP, etc.).
  • Supervise, train, coach, and mentor Direct Support Professionals to ensure high performance and adherence to best practices.
  • Conduct staff counseling, corrective action, and follow‑up, including work improvement plans.
  • Act as a positive role model and support staff development.
  • Ensure the health, safety, and well‑being of all clients by actively monitoring services, support, and home environments, and ensuring staff follow agency procedures.
  • Develop and maintain staffing schedules to ensure adequate coverage while staying within budgeted labor hours.
  • Prepare and post schedules in a timely manner; schedules for the following month posted by the 15th.
  • Follow scheduling blocks according to assigned schedules.
  • Monitor labor hours and ensure assigned service sites operate within budgetary guidelines.
  • Ensure a safe work environment to minimize workers’ compensation injuries; report all service site injuries and assist with claim management.
  • Participate in the development and implementation of client Individual Instruction and Support Plans (IISPs); support planning and updates as needed.
  • Supervise staff interactions with persons served and promote the rights of the persons served to enhance quality of life, promoting physical, social, and psychological well‑being.
  • Promote individuality of persons served by ensuring common living areas and bedrooms reflect the residents’ personalities.
  • Follow policies and protocols for disposal, collection, and storage of medical waste.
  • Monitor and maintain compliance with all relevant SAILS Washington policies, DDCS requirements, and Washington State regulations.
  • Conduct regular QA checks and client check‑ins to ensure services meet planned standards; provide timely feedback to staff.
  • Observe the implementation of client rights and coach staff on choice issues such as possessions, use of money, and church preferences.
  • Communicate regularly with families, conservators, case managers, and other outside agency representatives.
  • Monitor and report incidents, complete follow‑up documentation, and implement corrective actions when needed.
  • Ensure staff maintain organized and up‑to‑date documentation (client files, staffing records, training logs, compliance audits).
  • Support onboarding of new DSPs and ongoing professional development of the team.
  • Work in the program as direct care as scheduled and necessary.
  • Respond to emergencies or staffing challenges and participate in on‑call rotation as needed.
  • Promptly report suspected child/dependent and adult abuse immediately to the supervisor and complete mandated reporting.
  • Participate with investigations involving persons served and employees.
  • Maintain confidentiality of client information and ensure all required consents, HIPAA forms, and privacy notices are completed in advance.
  • Act as a crisis on‑call responder when designated.
  • Conduct weekly compliance checks and medication audits, ensuring each home meets state regulations and SAILS policies, and submit weekly reports to the Area Director.
