Position:
Property Coordinator
Location:
Leeward Oahu
Salary: $55,000 – $65,000 annually – depending on experience
We are seeking a highly organized and detail-oriented Property Coordinator to support the day-to-day operations of a property management team. This role provides administrative, operational, and customer service support to help ensure commercial properties are maintained efficiently and tenants receive exceptional service.
Key Responsibilities- Serve as a primary point of contact for tenant inquiries, service requests, and general property-related matters.
- Coordinate and track maintenance requests, work orders, and vendor services.
- Provide exceptional customer service to tenants, vendors, and clients.
- Prepare and distribute correspondence, notices, and other communications.
- Maintain organized property, tenant, vendor, and contract records.
- Assist with tracking lease-related documentation and critical dates.
- Review and process invoices, maintain supporting documentation, and coordinate with accounting personnel.
- Assist with accounts receivable follow-up and other financial administrative tasks.
- Support property inspections and help document operational, maintenance, and safety matters.
- Coordinate vendor access, service scheduling, and collection of required documentation.
- Assist with reporting, data management, and maintenance of property management systems.
- Provide administrative support for special projects and property improvement initiatives.

Qualifications- Previous administrative experience required; experience in property management, real estate, facilities, or a related field preferred.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Customer service mindset with a professional and positive approach.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Ability to work independently while contributing effectively to a team environment.
- Experience with property management or accounting software is a plus.
