Position SummaryCDI is seeking a highly organized and detail-oriented Business Office Coordinator to support daily administrative and compliance functions as well as government proposal submissions.
This role plays a critical part in ensuring timely, compliant proposal submissions while supporting internal operations such as timesheet compliance, purchasing, government property tracking, and office administration. The position will be filled at either the Coordinator I or Coordinator II level, depending on experience.
Core Responsibilities (All Levels) Administrative Support- Provide general administrative support to the Business Office, Technical Team, and Executive Management
- Manage calendars, coordinate meetings, and prepare meeting minutes as needed
- Oversee staff timesheets and ensure compliance
- Generate purchase orders and coordinate office-wide and contract-specific purchases
- Track deliveries and maintain accurate logs
- Coordinate travel arrangements and assist with event planning
- Maintain accurate records and perform data entry across business systems
- Assist with reporting requirements for government and commercial customers
- Support special projects as needed
- Identify and track federal proposal solicitations (DOD, DOE, NASA, etc.)
- Maintain proposal calendars, logs, and submission schedules
- Assist in assembling proposal packages and supporting submission efforts
- Manage electronic submissions through various government portals
- Track proposal submissions, confirmations, and award outcomes
(Early-career / developing role)
- Works under guidance to support proposal and operational activities
- Assists with proposal assembly and submission logistics
- Learns solicitation requirements, compliance standards, and government portals
- Supports timesheets, purchasing, and administrative processes
- Ideal for candidates building experience in government contracting and proposal coordination
Experience:
- 2–3 years of administrative, proposal, or government contracting support
- Exposure to federal proposals or compliance preferred, but not required
(Experienced / independent role)
- Independently manages proposal schedules and submission timelines
- Reviews solicitations to ensure compliance with agency instructions
- Coordinates directly with technical staff to drive proposal completion
- Acts as a key point of contact for electronic submissions
- Serves as CDI’s Government Property Manager and Facilities Manager
- Proactively identifies risks related to proposal deadlines or compliance
Experience:
- 4+ years of administrative and/or federal proposal coordination experience
- Demonstrated experience with government portals and compliance-driven submissions
- Familiarity with SBIR/STTR programs preferred
- Associate’s or Bachelor’s degree in business, administration, or related field
- Strong organizational, prioritization and time-management skills
- Exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple deadlines simultaneously
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to work independently with minimal supervision
