UNION POSITIONS: The internal salary range is used for applicants who are current NJ state employees with underlying classified status for promotional calculations who meet the requirements below. The external salary range is used for candidates who are not NJ state employees who meet the requirements below.
Position OverviewThe Office of Records and Registration at TCNJ seeks a Program Assistant. This role reports to the Assistant Director of Records and Enrollment and serves as the first point of contact in a high‑traffic student service office. Responsibilities include customer service, office management, student records transactions, enrollment verifications, communications, and support for campus events.
Responsibilities- Front Desk and Office Management: Manage student worker hiring, training, scheduling, payroll, and budget; be primary contact for visitors; monitor office email and phone, ensuring responsive communication; answer calls; respond and forward emails to appropriate staff; complete office supply orders; submit IT and facility work orders including new employee onboarding and printer/copier maintenance; coordinate office events and maintain lobby areas.
- Student Records Transactions: Handle changes of major/minor, advisor updates, student demographic updates, enrollment verifications, pre-major review and updates, enrollment transaction overrides such as repeat of course; provide backup for transcript data entry in PAWS.
- Enrollment and Degree
Certifications:
Process enrollment verifications; coordinate with Athletics, Financial Aid, General Counsel, and Student Affairs to certify enrollment and degree information for NCAA eligibility, National Guard waivers, transfer reports, etc.; notarize diplomas and transcripts. - Marketing and Communications: Update office website and social media; maintain bulletin board; distribute digital signage and marketing materials campus wide.
- Other: Participate in orientation and commencement; guide students in navigating campus resources; perform other records‑related duties as assigned.
Required
- Applicants must meet one of the following: 30 semester‑hour credits per year of relevant experience; or a bachelor’s degree from an accredited college; or an associate’s degree and two years of professional experience.
- Upon hire, expected to register as NJ Notary Public.
