We’re looking for an organized, energetic, and detail-driven Transportation Administrator to join our team in Exeter, NH
.
Working directly with our Transportation Director
, you’ll be at the center of a fast-moving operation, supporting everything from billing and permits to customer communication, documentation, call quality, and day-to-day administrative needs.

Reports To: Transportation Director
Status: Exempt, Benefits Eligible
Salary: $50,000–$65,000/year

This isn’t a sit-back-and-wait-for-something-to-do kind of role.
You’ll have your hands in multiple areas of the transportation operation, helping our team stay organized, responsive, and on track.
Keep the Numbers MovingYou’ll help make sure payments are processed, accounts are accurate, and financial loose ends get tied up.
- Process credit card payments and reconcile transactions
- Follow up on outstanding customer balances and aging accounts
- Submit and track Purchase Order (PO) requests
- Support basic accounting and billing functions
- Review calculations and transactions for accuracy
- Research discrepancies and help get them resolved
- Work directly with customers to professionally resolve billing questions and disputes
You don’t have to be an accountant — but you should be comfortable with numbers and naturally want to know why something doesn’t add up.
Own the Permits & PaperworkTransportation comes with documentation. Lots of it.
You’ll help make sure the right permits and documents are submitted, completed, tracked, and easy to find when we need them.
- Prepare, submit, and track transportation permits
- Maintain organized and up-to-date permit records
- Manage Docu Sign envelopes, templates, and signature workflows
- Track outstanding signatures and completed documents
- File and archive completed Docu Sign records
- Help ensure documentation meets company recordkeeping standards
If an important document is needed,
you’ll know where it is.
Details matter — especially when they affect our customers and operations.
You’ll support quality assurance and operational accuracy by reviewing calls, entering information, and keeping important data current.
- Conduct call reviews and audits to support quality standards
- Complete basic call entry into Towbook and TOPS
- Maintain operational and financial tracking spreadsheets
- Review information for accuracy and completeness
- Identify discrepancies, missing information, and opportunities to improve processes
Sometimes customers have a simple question.
Sometimes they have a billing issue.
Sometimes they’re frustrated and need someone who can calmly figure out what happened.
That’s where you come in.
- Serve as a point of contact for customer questions involving billing, permits, and services
- Communicate clearly and professionally by phone and email
- Research customer concerns and provide accurate information
- Help resolve billing disputes and other service-related questions
- Handle escalations with professionalism, patience, and good judgment
