SummaryThe Secretary to the Director of Information Technology is responsible for providing administrative and secretarial support to ensure the efficient daily operation of the Technology Department. Responsibilities include budget and purchasing support, records management, departmental communications, meeting coordination, and assistance with technology‑related administrative processes.
Essential Duties and Responsibilities- Process technology department purchase orders and maintain department budget spreadsheets.
- Reconcile technology department budget records and purchasing card statements with Business Office reports.
- Maintain and update technology department records, databases, and documentation files.
- Organize and maintain records related to district technology policies, software licenses, maintenance agreements, and support contracts.
- Generate and maintain documentation related to student and staff technology accounts, 1:1 device fee assessments, and Bring Your Own Technology (BYOT) registrations.
- Answer telephone calls, greet visitors and vendors, direct technology support requests to appropriate personnel, and distribute technology‑related forms and information.
- Prepare correspondence, reports, presentations, memoranda, and other documents as requested by the Director of Information Technology.
- Schedule meetings, prepare agendas, and record and distribute meeting minutes as directed.
- Open, sort, and distribute departmental mail and maintain the Director’s electronic calendar.
- Process and submit payroll timecards and staff development documentation for department personnel.
- Assist with the preparation and submission of E‑Rate applications and other federal or state technology‑related program documentation.
- Maintain designated technology‑related content on the District website.
- Perform other duties as assigned.
- High School Diploma or equivalent required.
- Demonstrated proficiency with technology applications, databases, spreadsheets, and office software.
- Strong organizational, record‑keeping, and customer service skills.
- Effective written and verbal communication skills.
- Ability to interact professionally with administrators, staff, students, parents, vendors, and community members.
- Ability to maintain confidentiality and manage multiple priorities with attention to detail.
Qualified candidate will be required to use hands to finger, handle or feel objects, tools or controls, and to talk and hear; sit and occasionally be required to stand, walk, stoop, kneel and crouch; have specific vision abilities, to include close vision, color vision, and the ability to adjust focus; have the ability to lift and/or move up to 25 pounds;
and possess effective communication, judgmental, planning and human relations skills, and will be required to work under periods of stress due to the level of the position responsibility.
- Reports directly to the Director of Information Technology.
- Works cooperatively with other administrators, supervisors, staff, and others to perform job responsibilities as outlined.
- This position is a 12 month position.
- Salary (step/level placement) & benefits are as described in the current Collective Bargaining Agreement.
