Administrative Coordinator
The Administrative Coordinator supports a senior manager (typically a Director or above) with a wide range of administrative tasks. The role includes front‑desk activities, CMMS, financial system, eContract, and EHS administrative support, and serves as backup for the Executive Assistant.
Responsibilities- Prioritize workload and deliver clerical and administrative activities under the manager’s guidance.
- Provide comprehensive support to daily site operations.
- Support quality document system: filing, archiving, invoice processing, and data verification.
- Manage office supply inventories across facilities, monitoring stock levels and placing orders.
- Prepare and coordinate work spaces and onboarding arrangements for new hires.
- Coordinate catering and logistics for site events in collaboration with the Executive Assistant.
- File expense reports for the Director of Facilities and Senior Director of BPD.
- Assist the CMMS administrator: upload documents, create work orders, and provide backup on all duties.
- Support Finance and EHS functions as required.
- Front‑desk duties (typically 7:30AM–11:30AM or 12PM):
- Receive and greet visitors, directing them appropriately and answering general questions.
- Issue control badges, verify GMP compliance, and record visitor arrivals and departures.
- Ensure vendors complete safety and GMP training and maintain records.
- Answer incoming calls, route accordingly, and maintain an updated phone list.
- Maintain a neat reception area and arrange transportation as needed.
- High school diploma or equivalent.
- 3 to 5 years of administrative experience.
- Proficiency in MS Office Suite (PowerPoint, Word, Excel, Outlook).
- Self‑starter with the ability to multi‑task and handle rapidly changing priorities.
- High level of accuracy and attention to detail.
- Strong verbal and written communication skills.
- Strong customer service skills.
Hourly rate: $30–$39. Eligibility to participate in Eisai Inc. Annual Incentive Plan. Final pay determinations will depend on experience, education, knowledge, and skills.
