Job Summary:
To assist in ensuring that all students attend school on a regular basis and to provide timely and accurate student attendance reports to the faculty and to the State Board of Education for determining fund allocations to the school. To greet and assist students, faculty, employees, and visitors in the main lobby, and to assist in the efficient operation of the office.
Qualifications:
To successfully perform this position, a person must be able to perform each primary duty satisfactorily.
- High school diploma
- Ability to operate a computer and knowledge of word processing and spreadsheets
- Bookkeeping/record keeping skills
- Effective interpersonal skills
- Strong written and communication skills
- Excellent clerical skills
- Proficiency in the use of technology for individual and system management, communication, and research
- Ability to operate multi-user telephone system
- Ability to work independently and have excellent organizational skills
- Must successfully complete and maintain compliance with all federal and state background and criminal record check requirements
- Candidate must adhere to all local, state, federal, and school code requirements for employment
Duties & Responsibilities:
- Prepares and prints attendance corrects lates and absences on the computer
- Generates 60, 120, and 180 day attendance reports
- Prepares student reports, overdue excuse cards, homeroom lists, perfect attendance, or other reports as needed
- Checks on students who are missing from class and notifies administrator
- Answers telephone calls and assists anyone who enters the office with questions, requests, etc.
- Assists teachers with questions and information on students and assists, as needed, parents, students, guidance, and administrators
- Notifies Attendance Officer of student's refusal to come to school
- Enters attendance into computer for teachers or substitutes, as needed, for every period throughout the day
- Issues late slips and early dismissal passes to students
- Generates daily bulletin and delivers to each classroom
- Enters attendance for field trips and gathers contact information of teachers on the trip
- Maintains schedule of bus arrivals and forwards information to Transportation Department
- Prepares and maintains student attendance folders, filing all notes for each student, making corrections as needed due to information from parents and teachers
- Generates and investigates discrepancies in daily attendance due to errors in period attendance
- Calls students from class as requested by Administrators
- Sorts and distributes U.S. mail
- Provides clerical assistance to the office staff as requested by administrators
- Maintains and files hard copies of student schedules
- Tracks daily early dismissals; calls students from class when needed, and enters returning students' information into current software system
- Creates and maintains position procedure outline to describe day to day duties of the position/department as needed
