VL Contracts and Solutions Specialist plays a critical role in making that possible by supporting Sales teams with accurate, compliant, and well-executed vendor contracts.
Working under minimal supervision from the Manager and Supervisor, Software Contracts and Solutions Support, you’ll operate in a call‑center and case‑management environment as a trusted resource for Sales and internal partners. You’ll manage customer‑specific contracts for Tier 1 vendors, ensure compliance with vendor and company requirements, and provide clear guidance on volume licensing programs throughout the sales lifecycle.
This role is ideal for someone who enjoys detail-driven work, problem-solving, and continuously improving how things get done—while collaborating closely with Sales, vendors, and cross-functional teams.

ResponsibilitiesContracting & Compliance
- Create, review, audit, and submit customer‑specific vendor contracts to support sales orders.
- Handle entry‑level through complex purchasing activities based on vendor agreements and program rules.
- Audit purchase orders to ensure compliance with vendor program specifications and internal controls.
- Validate customer eligibility and pricing to meet compliance requirements.
- Proactively identify and resolve contract or processing issues to prevent delays or broken contracts.
- Process updates to existing contracts, including changes to channel partners and contact information.
- Obtain vendor authorizations for customer returns and manage related documentation.
Operations & Systems Support
- Support Sales and internal teams via call‑center interactions, case management tools, and email.
- Research and resolve processing issues with vendors in a timely manner.
- Maintain licensing databases, reports, price sheets, and contract documentation.
- Create cases and reporting for annuities, renewals, and annual true‑ups.
- Use vendor‑supplied tools and internal systems to complete and track work accurately.
- Audit submitted information to ensure accuracy and completeness.
Process Improvement & Enablement
- Identify opportunities to improve processes, documentation, and system workflows.
- Develop and maintain licensing resources such as cheat sheets, Sales Hub documentation, agreement logs, and vendor program references.
- Present licensing‑focused training to support Sales and Product Management initiatives.
- Maintain team knowledge resources, including One Note documentation.
- Partner with leadership to identify gaps in training and develop meaningful solutions.
Collaboration & Relationship Management
- Build strong working relationships with Sales, Sales Support, Business Development Managers, Renewals teams, Microsoft COE, and vendor partners.
- Serve as an escalation point for licensing‑related questions from supported customers.
- Contribute to team initiatives, shared goals, and special projects as assigned.
- Intermediate Microsoft Excel skills, including formulas, tables, and charts.
- Proficiency in Microsoft Outlook with the ability to write clear, professional communications.
- Advanced knowledge of CRM or ERP systems.
- Intermediate database experience for auditing and maintaining data.
- Proven experience with contractual volume licensing and IT asset management.
- Working knowledge of sales or procurement operations, with the ability to follow and improve controlled processes.
- Strong analytical and problem‑solving skills.
- Exceptional attention to detail and accuracy.
- Ability to work discreetly in a confidential environment using sound judgment.
- Highly organized, with the ability to prioritize, multitask, and meet deadlines in a fast‑paced environment.
