The Secretary to the Director of Elementary Education provides comprehensive administrative and day‑to‑day secretarial support to the Director of Elementary Education and supports key elementary education operations, budgeting processes, records management, and departmental projects.
Essential Duties and Responsibilities- Coordinate meetings for the Director of Elementary Education, including scheduling dates, times, locations, participants, agendas, sign‑in sheets, time cards, and related materials.
- Provide confidential administrative support, including correspondence, document preparation, filing, mail handling, and telephone communication.
- Manage budget‑related processes for the Director of Elementary Education/Gifted K–5/Title I and the Assistant Superintendent’s operating and curriculum budgets, including Title II activities. Duties include annual budget preparation, purchase processing, expense reports, pre‑approvals, time cards, data collection, and preparation of monthly and annual reports.
- Process guardianship paperwork, elementary field trip forms, annual kindergarten folders, and public K101 registration materials.
- Maintain and support electronic records management for Elementary, including monthly reports, GIEP documentation, PAC assistance, gifted website updates, and gifted assessment records.
- Assist with student teacher placements, professional staff interview scheduling, kindergarten registration activities, guardianship documentation, and attendance exceptions.
- Support the Director of Elementary Education with special projects, reports, presentations, and other departmental initiatives.
- Perform other duties as assigned.
- High school diploma or equivalent required.
- Demonstrated proficiency with technology and common office applications, including Microsoft Access, Excel, Word, PowerPoint, and Outlook.
- Advanced administrative/secretarial skills, including written and verbal communication, phone etiquette, organization, confidentiality, and professionalism.
- Ability to learn and apply job‑embedded professional development.
- Strong problem‑solving, interpersonal, and customer‑service skills with the ability to interact diplomatically with administrators, teachers, parents/guardians, students, support staff, and external professional contacts.
- Knowledge of elementary education operations is preferred.
Qualified candidate will be required to use hands to finger, handle, or feel objects, tools or controls, and to talk and hear; sit and occasionally be required to stand, walk, stoop, kneel and crouch; have specific vision abilities, to include close vision, color vision, and the ability to adjust focus; have the ability to lift and/or move up to 25 pounds;
and possess effective communication, judgmental, planning and human relations skills, and will be required to work under periods of stress due to the level of the position responsibility.
- Reports directly to the Special Education Program Director of Elementary Education.
- Works cooperatively with other administrators, supervisors, staff, and others to perform job responsibilities as outlined.
- This position is a 12 month position.
