If you’re the kind of accounting pro who likes a busy store, clean schedules, and the satisfaction of a month that ties on the first pass—let’s talk. We’re a midsize Subaru dealership selling 150–200 vehicles a month, and I’m hiring an Office Manager / Bookkeeper / Controller to be the steady hand in our business office as we continue to grow.
this role matters
At our volume, every day brings dozens of deals, repair orders, parts tickets, floor‑plan moves, and vendor invoices. I need a detail obsessed partner who can keep the back office humming—protecting cash, reconciling accounts, and giving the management team timely, accurate numbers to run the business.
What you’ll do- Deal posting & schedule control: Post retail and wholesale deals, maintain accounting schedules, clear aged items daily, and keep the books audit ready.
- AP/AR & cash management: Process payables, match POs, manage statements and credits, post receivables, prepare daily cash/credit card deposits, and reconcile to bank.
- Floor plan & bank reconciliations: Record curtailments/payoffs, interest, incentives, and complete monthly reconciliations on time.
- Fixed ops accounting: Post parts, service, warranty, sublet, and internal tickets; verify cost of sales; and close RO batches accurately.
- Month end close support: Prepare journal entries, balance schedules, roll the GL, and deliver management reports with variance notes.
- Titles & compliance backup: Coordinate with title/DMV and F&I for accurate funding packets and compliance documentation.
- Process improvement & controls: Standardize workflows, strengthen internal controls, and help train cross‑functional teammates on how the numbers flow.
- Automotive accounting experience in a dealership business office (preferred).
- CDK Drive (DMS) experience preferred
—or the ability to learn quickly if you’re coming from another DMS. - Bachelor’s degree in Accounting, Finance, or related field preferred (or equivalent, proven, job experience).
- Mastery of Excel and comfort with reconciliations, journal entries, and schedule hygiene.
- Professional discretion, urgency, accuracy, and a service-oriented mindset with internal customers (sales, service, parts, and F&I).
- A modern, fast‑paced Subaru store with leadership support, clear processes, and realistic close timelines.
