Position Summary
FEHE Enterprises is seeking a highly organized, proactive, and detail-oriented Office Manager / Compliance Coordinator to oversee daily administrative operations while supporting executive leadership in maintaining organizational efficiency and regulatory compliance. This position serves as the central point of coordination for office operations, executive support, interdepartmental communication, and organizational follow-through.
This Office Manager / Compliance Coordinator is responsible for ensuring administrative processes are completed timely, departments remain accountable for assigned responsibilities, and leadership has the information necessary to make informed decisions. This role also assists with quality assurance efforts by monitoring organizational follow-up, maintaining documentation, and supporting compliance initiatives across all departments.
Essential Responsibilities- Manage the daily operations of the corporate office.
- Answer and direct incoming telephone calls.
- Greet visitors and provide excellent customer service.
- Maintain office supplies, files, and administrative records.
- Prepare letters, reports, and other business correspondence.
- Assist Executive Leadership with daily administrative needs.
- Coordinate meetings and maintain calendars as assigned.
- Prepare meeting agendas and supporting documents.
- Attend leadership meetings and record accurate meeting minutes.
- Distribute meeting notes and action items.
- Track follow-up assignments and ensure departments complete assigned tasks.
- Assist Executive Leadership in monitoring organizational compliance and accountability.
- Follow up with department leaders regarding outstanding reports, projects, and action items.
- Maintain organized compliance and administrative documentation.
- Assist with audits, inspections, and regulatory reviews as needed.
- Collect departmental reports prior to Monday Leadership Meetings.
- Ensure meeting materials are complete and distributed on time.
- Serve as a liaison between departments and Executive Leadership.
- Assist with special projects and organizational initiatives.
- Provide administrative support to Human Resources, Operations, Nursing, and other departments as needed.
- Occasionally assist in residential or day program settings during staffing shortages, if requested.
- Associate's degree preferred; equivalent experience will be considered.
- Minimum of three years of office management, executive assistant, or administrative experience.
- Strong organizational, communication, and time management skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Ability to maintain confidentiality and exercise professional judgment.
- Ability to prioritize multiple assignments and meet deadlines.
- Experience in healthcare, human services, or developmental disabilities.
- Knowledge of DBHDD regulations or compliance processes.
- Previous Direct Support Professional (DSP) experience is helpful but not required.
- Must successfully pass all required criminal background and DBHDD screenings.
- Valid driver's license and reliable transportation.
- Ability to travel between FEHE locations as needed.
- Ability to occasionally provide direct support assistance when operational needs require.
