The role provides direct supervision and leadership to administrative staff who support clinical teams delivering services to consumers.

The incumbent consistently applies a calm, respectful, and trauma‑informed approach that prioritizes dignity, de‑escalation, and supportive engagement. Serves as a trusted point of contact for consumers, clinicians, and external partners, responding to inquiries related to client records and administrative procedures in full compliance with CSB, federal, state, and county confidentiality requirements.
Key Responsibilities of the Role- Oversees revenue cycle management, including client check‑in, check‑out, and registration processes, to ensure a welcoming and efficient experience
- Manages client registration and pre‑registration activities with accuracy and attention to detail
- Ensures timely and accurate client service data entry in accordance with organizational standards
- Ensures CSB financial and reimbursement policies and procedures are followed and maintained
- Supervises cashiering functions, including client balance inquiries and payment processing
- Maintains accountability for cash drawer reconciliation and related financial procedures
- Coordinates and oversees annual client updates to ensure compliance and data integrity
- Promotes a high standard of accuracy, efficiency, and exceptional customer service across all administrative functions
- Schedules and monitors required and optional organizational and staff development activities, with an emphasis on revenue cycle management and customer service excellence

General Financial Duties- Reviews and approves disbursement forms
- Recommends changes to agency/work unit administrative policies, procedures and methods
- Uses existing spreadsheets and databases to interpret and organize resource information
- Provides customized reports to analysts or others in the unit
- Approves and authorizes accounts through corporate system
- Monitors external accounts and resolves discrepancies
- Reviews and reconciles status reports
- Supervises staff performing clerical accounting duties at the Asst. II and III levels
- Resolves problems by performing qualitative review of individual cases
- Enters data into corporate accounting systems and reconciles a wide variety of accounts receivable/payable
- Performs petty cash custodial duties
- Audits clerical accounting procedures in other agencies
- Researches and recommends equipment/vendors and prices
- Determines substitutes for supplies and low value equipment
- Verifies the accuracy of and updates the department equipment and/or fixed‑asset inventory
- Authorizes requests for goods and services in corporate system
- Monitors contract compliance (e.g., expirations, payment terms, costs)
- May act as procurement card manager
- Manages supervisor's calendar which may require negotiating time and place
- Researches and negotiates with hotels, etc. for best logistical arrangements for rooms
- Makes complex scheduling arrangements involving multiple parties, including informing all relevant parties
- Independently makes and cancels meetings depending on the subject and attendees
