Position Overview
The Document Control Specialist is responsible for the incoming physical mail the firm receives. This role is responsible for uploading all the mail to our platforms and filing away the documents. This role must communicate with clients to coordinate pick up times or mail outs to ensure the clients receive critical documents.
Job Description- Open, log, scan, and upload mail to case management system, add all critical dates (including interviews and court hearings) to calendar
- Assist in locating misplaced documents and files. Research and problem solve issues pertaining to locating requested records. Handle sensitive and/or confidential documents and information. Coordinate return of original documents to clients.
- Properly store critical documents in the correct location
- Monitor shelf space needs; organize/keep/shred documents
- Communicate with clients to coordinate pick up/mail out of EADS/LPRS/Travel Docs, etc.
- Ensure all mailed money orders received are properly checked into the finance team
- Provide support with front desk operations on an as-needed basis
- Provide support with ECAS/FOIA inbox when needed
- Back up colleagues when needed
- Use time efficiently and well organized
- Other duties as assigned
- High School Diploma/GED
- Must be fluent in Spanish (reading, writing, speaking)
- Be detailed oriented and highly organized
- Able to understand and follow written and verbal instructions
- Able to work in a fast-paced environment
- Experience using Salesforce and Microsoft 365
