The Records Management Unit (RMU) Records Technician supports the management of centralized onsite active records management program and executes the delivery and retrieval of inactive records stored at an offsite warehouse facility. The records to be managed are located in our Active Records Units (ARUs) onsite, the RMU in Fairfax, VA, our offsite storage at the FRC in Suitland, MD, and our recently acquired storage location at Iron Mountain in Suitland, MD.
The management of these paper records include not only tracking records, but the delivery and retrieval from onsite storage and offsite storage facilities and maintaining records throughout their entire life cycle to include annual inventories and file plan creation for these records.

Essential Requirements- Must be able to obtain and maintain the required customer clearance for access to systems, facilities, equipment and property.
- Manage the creation, organization, maintenance, retrieval, and retirement of litigation and case files in both physical and electronic formats.
- Record and update file information in CIMS, AMMS, and other tracking systems; ensure accuracy of all file movements and status changes.
- Locate and research case files using multiple reference tools, databases, and legacy systems.
- Identify, organize, label, scan, and interfile documents; create and maintain electronic file folders and barcodes.
- Process file requests, ensuring proper authorization, accuracy, and timely delivery to requestors.
- Conduct regular quality control, shelf reading, and file inventories.
- Prepare files for transfer or retirement, including labeling, boxing, listing, and coordinating with FRC, WNRC, and Iron Mountain.
- Perform complex file organization tasks and special projects requiring planning and attention to detail.
- Train personnel, coordinate clerk activities, and support requestors in identifying cases and using CIMS search features.
- Maintain communication with requestors, verify deliveries, and track outstanding files.
- Conduct ad hoc research for COR and other government records staff using current and historical information systems.
- Review documents for proper identification prior to interfiling at external facilities.
- Operate scanning equipment, prepare documents for scanning, perform quality control, and maintain related logs.
- Address customer inquiries and concerns professionally and promptly.
High school diploma or general education degree (GED) and a minimum of one (1) year of college/relevant training (e.g., paralegal training) and One (1) year of experience as a supervisor of records clerks in legal office environment and/or training, or equivalent combination of education/experience.
