The Business & Finance Manager is responsible for the day-to-day business and financial operations that keep FACETS running smoothly and in compliance with funder, audit, and internal-control requirements. Reporting to the Sr. Director of Business Management, this role manages organization-wide credit card administration and reconciliation, bank and merchant deposit reconciliation, expense and budget monitoring, and the financial-stability functions for participants in FACETS' housing programs - including rent, utility, hotel, and lease administration for housing programs.
This role combines hands‐on financial operations (reconciliations, deposits, expense tracking, vendor and rent‐related landlord coordination) with broader organizational responsibilities (policy development, internal controls, budget support, and cross‑departmental coordination with Accounting, Programs, and Operations). The ideal candidate is highly organized, detail‑oriented, comfortable with both spreadsheets and people, and energized by building and improving systems in a mission‑driven environment.

- Support the Sr. Director of Business Management in monitoring actual spending against approved budgets across departments and grants/contracts.
- Assist with the annual budgeting process, including gathering input from program and department leads.
- Track restricted funding (e.g., HUD, state, and local grants/contracts) to help ensure expenses are allocated appropriately and within contract terms.
- Assist with preparation of financial back‑up and documentation for grant reporting, reimbursement requests, and the annual audit.
- Recommend and help implement process improvements, financial controls, and policy updates to strengthen organizational financial management.
- Conduct monthly reconciliation of all organizational credit card statements against receipts, coded expenses, and supporting documentation submitted by cardholders.
- Track and follow up on missing or incomplete documentation; train and retrain cardholders, budget leads, and volunteers on proper coding, documentation, and policy compliance.
- Maintain and periodically review Staff and Volunteer Cardholder Agreements, ensuring signed agreements are on file before card issuance and that usage aligns with policy.
- Monitor organizational spending for unusual activity, policy violations, or budget overages, and elevate concerns to the Sr. Director of Business Management.
- Review and provide oversight for employee expense reimbursements.
- Reconcile participant rent and program‑fee collections against bank deposits and accounting records.
- Maintain internal controls over cash handling, deposits, and revenue collection in line with FACETS' financial policies and audit standards.
- In coordination with the Finance and Accounting contract team, investigate and resolve discrepancies between bank statements, deposit logs, and the general ledger in a timely manner.
