A medical practice in Fairfax is looking to add an office manager to their team. This office is a small family‑run organization that has been in business for over a decade and provides a good work life balance. This person will serve as the first point of contact for patients, providing exceptional customer service, managing appointments, and assisting with administrative tasks to ensure the smooth operation of the practice.

Key Responsibilities
  • Front Desk Operations: Greet patients with a warm and welcoming demeanor, check them in, and direct them to the appropriate areas within the facility.
  • Appointment Scheduling: Schedule patient appointments, consultations, and follow-up visits accurately, considering patient preferences and medical staff availability.
  • Patient Registration: Collect and verify patient information, including personal details and insurance information, while ensuring accuracy and compliance with HIPAA regulations.
  • Insurance Verification: Verify patient insurance coverage, obtain pre-authorizations for medical procedures when necessary, and assist patients with billing inquiries.
  • Telephone and Email Communication: Handle incoming phone calls and emails, addressing patient inquiries, scheduling requests, and other administrative matters promptly and professionally.
  • Medical Records Management: Maintain organized and up-to-date patient records, ensuring the confidentiality of sensitive medical information.
  • Cash Handling: Collect patient co‑pays, process payments, and provide receipts accurately.
  • Administrative Support: Assist medical staff and providers with administrative tasks, such as data entry, filing, and managing paperwork.
  • Patient Advocacy: Act as a patient advocate, ensuring that patients receive excellent service and assistance in navigating the healthcare system.
  • Collaboration: Collaborate with healthcare professionals and administrative staff to ensure efficient patient flow and a positive patient experience.
Qualifications
  • High school diploma or equivalent; additional education or training in healthcare administration is a plus.
  • Previous experience as a medical receptionist or in a similar role is preferred.
  • Strong interpersonal and customer service skills.
  • Excellent communication skills, both in person and over the phone.
