The EP Medical Records & Patient Services Specialist supports daily practice operations by managing medical records and health information while performing front desk medical receptionist duties, including patient intake, scheduling, and customer service. We are seeking experienced professionals to join our team in our outpatient cardiology setting. RESPONSIBILITIES:

  • Prepares charts for upcoming appointments at least one week in advance.
  • Processes daily administrative tasks, including printing schedules, reviewing electronic health records for completeness, and generating notes, reports, and other documentation in accordance with established protocols.
  • Orders medical records from external health care facilities as required.
  • Cross trains with the PSS role and will support front desk duties as assigned.
  • Processes incoming/outgoing requests for medical records from multiple parties including patients, physicians, hospitals, insurance companies, employers, and others; then forwards these requests to the HIM (Health Information Management) Department for completion of requests.
  • Obtains proper written authorization from patients when required.
  • Respond to urgent requests quickly and appropriately.
  • Routes qualifying requests to Patient Accounts Department for billing.
  • Demonstrates empathy and compassion while maintaining a professional, positive attitude, and communicates courteously and effectively with patients, physicians, and colleagues.
  • Resolve routine problems and concerns.
  • Provides cross-coverage and operational support for front desk functions as needed to ensure seamless patient service and workflow continuity.
  • Registers patients in EMR (Electronic Medical Records) system, verifies demographics and updates accordingly.
  • Ensures Primary Care and Referring Physician information is correct and complete.
  • Responsible for the cleanliness and tidiness of immediate workstations and designated areas outlined by the Department Manager.
  • Records data, activities, and workflow status in various logs and systems throughout the day in accordance with department protocols, ensuring accurate tracking of progress and operational updates.
  • Reports errors and misguided communications for immediate resolution.
  • Must be able to organize and prioritize tasks based on time constraints, proactively transitioning from one task to another without direction from leads or management.

REQUIREMENTS:

  • High School Diploma or equivalent required
  • Minimum of one year experience working in Medical Records or related field
  • Medical office or hospital experience preferred
  • Prior working knowledge of Microsoft Word, Excel, and Outlook
  • Experience with the use of an Electronic Medical Record (EMR) preferred
