Office Manager – The School of Psychological Science

Salary: $65,400–$75,000 (Full-time, 1.00 FTE, 12 months, professional faculty)

Job Summary: The School of Psychological Science is seeking an Office Manager to provide confidential administrative work for the School Director and Executive Team, establish and evaluate effective administrative office policies, serve as the administrative liaison, provide budgetary support, supervise staff, and manage records and communications.

Key Responsibilities

General Administration and Assistance – 60%

  • Serve as liaison between School Director and faculty, staff, administration, and off‑campus contacts.
  • Advise faculty on university policies and procedures and serve as a resource on personnel, finance, and other administrative issues.
  • Authorize purchases, approve invoices, and monitor the School budget in liaison with Finance and Accounting.
  • Provide confidential administrative assistance to School Director, manage the Director’s calendar, and prioritize routine correspondence.
  • Plan and coordinate external and internal activities, interviews, meetings, conferences, student/family events, and student club activities.
  • Prepare budgetary and other reports as needed.
  • Coordinate facility access and maintenance, manage lock‑outs, and follow up on building facilities requests.
  • Periodically review, update, and draft copy for the School website.
  • Identify office supplies and machines for general office and specialized spaces, ensuring privacy and compliance requirements.
  • Maintain organizational and secure filing of student educational, mental‑health, and other office documents.

Coordination of Personnel Processes – 15%

  • Coordinate personnel processes including tenure/tenure‑track hiring, quarterly instructor appointments, graduate assistant hiring, fixed‑term faculty appointments, and professional and classified staff positions.
  • Prepare spreadsheets for HR on appointments each term for on‑campus and e‑campus teaching.
  • Collaborate with International Services on hiring and visa reviews, maintaining necessary records.
  • Assist with promotion and tenure processes, manage confidential records, and support offer letters for appointments.
  • Provide search support to faculty, including travel and transition assistance for interviewees and newly hired personnel.

Supervision – 20%

  • Ensure in‑office administrative support and front desk available 8 a.m.–5 p.m. at all needed locations.
  • Supervise classified staff: review position descriptions, assign and review work, conduct performance appraisals, create professional development plans, counsel employees, and take disciplinary action with HR.
  • Approve timesheets.

Other Duties as Assigned – 5%

As required by the School Director or the administration.

What You Will Need
  • Bachelor’s degree in psychology, business administration, or a related field and 3 years of office‑management experience in a complex environment.
  • Strong organizational, planning, and prioritization skills to manage multiple tasks and deadlines.
  • Good judgment, professionalism, and discretion with confidential information.
  • Proficiency in Microsoft Office; ability to learn new software (e.g., Workday, digital file‑management tools) quickly.
  • Availability for on‑site presence during standard business hours.
  • Experience working with diverse backgrounds in an inclusive educational environment.
  • Compliance with security‑sensitive position requirements, including a successful criminal‑history check.

Working Conditions / Work Schedule

On‑site typical office environment; may require after‑hours assistance or travel for periodic events.
