Community Services Clerk
This class is accountable for assisting the Senior Center Coordinator with departmental programs and activities that support the overall operation and mission of the Department.
Under the supervision of the Senior Center Coordinator, the Community Services Clerk provides clerical, program, and membership support for the Human and Social Services Department. This position plays a key role in supporting daily office operations, senior center programs, and membership/registration processing. Responsibilities include administrative tasks, program logistics, technology assistance, customer service, and occasional donor correspondence. The position interacts directly with staff, instructors, volunteers, and members to ensure professional, organized, and efficient operations.
- Answers phones, transfers calls, and takes messages; receives and directs visitors.
- Assists with senior center programs, including logistics, attendance tracking, classroom setup, and event support.
- Assists with technology setup, troubleshooting, and supply inventories.
- Compiles and prepares reports; sorts, codes, and files materials; maintains logs and records.
- Creates, maintains, and updates departmental records, spreadsheets, and reports.
- Performs daily office functions, including copying, filing, mail processing, and supply ordering.
- Performs light physical tasks such as setting up rooms and moving event materials.
- Prepares correspondence, including donor thank-you letters and in memoriam acknowledgments.
- Processes membership forms, enters membership data, and registers members for classes/events in My Senior Center (MSC).
- Provides professional and courteous customer service in person, by phone, and via email.
- Provides setup assistance for all programs and helps maintain a clean, safe, and organized senior center.
- Supports program planning, including movie selection, events, communications, and activity coordination.
- Performs other related duties as required.
Knowledge, Skills, and Abilities:
- Knowledge of general recordkeeping and administrative practices.
- Knowledge of grammar, spelling, punctuation, and modern office practices.
- Knowledge of senior population needs, aging issues, and recreational/social programming.
- Excellent verbal communication, listening, and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher); familiarity with databases (MSC preferred).
- Strong organizational skills with the ability to multitask and adapt to changing priorities.
- Ability to creatively and resourcefully support program development.
- Ability to communicate clearly and professionally with staff, instructors, members, donors, and the public.
- Ability to establish and maintain effective working relationships with coworkers and diverse populations.
- Ability to exercise sound judgment, discretion, and maintain confidentiality.
- Ability to perform clerical tasks (sorting, coding, filing) and light physical tasks (room/event setup).
- Ability to remain calm, courteous, and professional in busy or potentially stressful environments.
Minimum Qualifications:
High School Diploma or GED and two (2) years of responsible community based, human and social services or senior program experience, or an equivalent combination of education, work experience and training.
Special Requirements:
Incumbents in this class may be required to work a schedule that includes weekends, evenings and holidays. Incumbents in this class may be required to travel. Incumbents in this class may be required to obtain and maintain CPR and First Aid certifications. Incumbents in this class may be required to possess and retain a valid Motor Vehicle Operator's license.
