SUMMARY
The role of the Sales & Marketing Administrative Assistant is to provide administrative support to the Executive Assistant to President & CEO, while additionally supporting the Sales & Marketing Department in the execution of a diverse range of initiatives. This will include miscellaneous tasks that occur on a daily basis.
JOB DESCRIPTION
- Primary Responsibility:
Administrative support to the Executive Assistant to President & CEO- Provide back-up for Executive Assistant to President & CEO for various and diverse tasks.
- Promptly and effectively follow-up on potential media and speaking engagement opportunities for the President & CEO. Evaluate and recommend the ones that align with corporate initiatives.
- Coordination, vetting, planning, preparation, and communication (internal/external) of selected speaking engagements
- Actively support and contribute to key organizational committees, with a focus on the Bigelow Tea Community Challenge, as well as all other donations activities
- Coordination of trade shows, sales /marketing meetings, sustainability events, sampling events, tea education, and competitive tea tastings
- Lead and contribute to the coordination of all aspects of trade shows, conferences, meetings and events. This includes assisting in the financial management including budget creation and monitoring expenses
- Coordinate sampling and tea education events (internal or external)
- Coordinate competitive product tastings and capture findings
- Assist in the coordination of sample packing for tea education events as directed by R&D managers
- Assist in the coordination of Sustainability events as directed by Corporate Responsibility manager
- Experiential Marketing Support
- Campus Rep. program lead
- Manage & coordinate all aspects of the campus rep program this includes managing budget, aligning school locations with the strategic marketing & sales markets, recruiting & screening perspective reps, coordinating annual Fairfield educational days, supplying reps with promotional collateral, working with reps on their school events, recapping the year-end results for the management team and summarizing/optimizing effectiveness of the program.
- Other experiential support as needed.
- Campus Rep. program lead
- Lead and support identified promotional materials/collateral.
- Responsible for managing and sourcing select promotional materials
- Includes managing budgets, inventory, as well as providing recommendations for new ideas, etc.
- Responsible for managing and sourcing select promotional materials
- Additional Administrative support may include:
- Manage and maintain the appearance of key conf. rooms, third floor kitchenette, and product display areas within Fairfield facility
- Management of office supplies for the Fairfield location
- Sweepstakes fulfillment as needed
- Coupon execution as needed
- Display shipper process administration
- Member of the Ergonomics committee, Fairfield Green Team, and Bigelow Tea Community Challenge Committee
- Other Sales & Marketing administrative tasks that may arise
SKILLS REQUIRED
- Flexibility and fluidity in handling the miscellaneous tasks and requests that arise on a daily basis
- Excellent verbal and written communication skills is essential
- Excellent interpersonal skills and the ability to work well with all levels of management, staff, and external stakeholders
- Event planning and coordination
- Demonstrates creativity in marketing communications to engage internal or external audiences
- Ability to be adaptable to various competing demands and demonstrate the highest level of service and response
- Ability to quickly understand and adapt to corporate initiatives and culture
- Ability to handle confidential information with discretion
- Technically-savvy, working knowledge of MS Office applications (Word, Excel, PowerPoint, Outlook)
- Maintains professionalism when navigating challenges and changing priorities
EDUCATION and/or EXPERIENCE
- College graduate with a degree in Business Administration, Marketing and/or Communication preferred
- Experience as an Event Planner, Marketing Coordinator, Executive Support a plus
- 7+ years relevant experience
