The Assistant Program Director reports to the Program Director and supports them in managing daily operations, safety, staffing, fiscal operations, administrative requirements, and stakeholder development for a school-based after-school program. They serve as the primary on-site manager in the absence of the Program Director. Responsibilities include, but are not limited to:

  • Assist with the supervision of all aspects of a school-based after-school program.
  • Support on-site Mental Health services and assist in ensuring site adherence to the established mental health response and referral plan.
  • Assist in managing daily program operations and coordinate with the school’s administration, teachers, secretaries, cafeteria, and custodial staff as assigned by Program Director or in their absence.
  • Assist with program planning and logistics, including tasks such as schedule creation and distribution, snack and space planning, trips, supply requests, and programmatic needs.
  • Serve as one of NIA’s on-site representatives and liaisons, building and maintaining positive relationships with all stakeholders (participants, parents, school staff and administration, funders, the community, program staff, and NIA).
  • Assist with efforts in the interviewing, hiring, managing, training, and coaching of program staff as assigned.
  • Conduct classroom observations as assigned and provide feedback to Program Director. Report concerns with program quality to the Program Director for follow-up.
  • Personally complete required Mental Health training, including Mental Health and Mental Illness, Engagement and De‑Escalation Strategies, Referral and Crisis Management Protocols, and Mental Health Resources.
  • Support on‑site Inclusion efforts, working alongside the Program Director to identify and support student needs.
  • Assist in planning program events, including culminating events showcasing participant work, family engagement events, holiday and cultural celebrations, and collaborative events in partnership with the hosting school.
  • Assist in ensuring that assigned program operates safely, including maintaining safe spaces and program practices; adhering to requirements for scheduled fire drills and other safety drills; being vigilant of staff and student interaction, signs of child abuse/maltreatment/neglect, and signs of mental health emergencies.
  • Respond according to established organization and site‑based plan in the event of on‑site injuries or medical emergencies.
  • Assist in ensuring that the program operates in compliance with all DOH/licensing mandates, and with hosting announced and unannounced visits from local inspectors.
  • Assist with on‑site recruitment and program advertising efforts.
  • Assist in hosting announced and unannounced visits from funding agency.
  • Assist with all program administrative tasks, including but limited to maintaining accurate time and attendance records for all staff, current staff and student files, incident and accident reports, and other required site postings, documentation, and student data.
  • Remain responsive and accountable on all administrative tasks, including responding to emails and phone calls in a timely manner, adhering to submission deadlines, and completing all administrative tasks as assigned.
  • Remain prepared to assist within classrooms as needed.
