Job SummaryA Purchasing Assistant supports the procurement team by helping process purchase orders, gain quote responses on RFQs, maintain supplier relationships, and ensure timely delivery of goods. This role is essential in supporting smooth business operations by ensuring cost-effective purchasing, accurate documentation, and timely coordination between suppliers and internal departments.
Key Responsibilities- Ensuring supplier receipt of RFQs for quote return
- Maintain records of quote return timelines and follow up with suppliers as needed
- Assist in processing and issuing purchase orders in accordance with company policies
- Communicate with suppliers to obtain price quotes, lead times, and product specifications
- Track orders and ensure timely delivery of materials
- Monitor open purchase orders and provide status updates
- Maintain accurate purchasing records, vendor files, and databases
- Assist with supplier onboarding and documentation requirements
- Reconcile purchase orders with invoices and packing slips
- Resolve issues related to shipments, invoices, discrepancies, or supplier performance
- Support contract management and vendor evaluations
- Ensure compliance with company procurement policies and procedures
- High school diploma required
- Minimum of 0-2 years of experience in a related or applicable field, or an equivalent combination of education and experience.
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to prioritize tasks and meet deadlines
- Analytical and problem-solving skills
- Ability to build and maintain supplier relationships
- Team-oriented with the ability to work cross-functionally
