Project Coordinator
Job Description
We are seeking a detail-oriented and proactive Project Coordinator with a construction to support project management and field teams. In this role, you ensure projects run smoothly by managing documentation, coordinating logistics, and supporting day-to-day operations across multiple job sites. You will work closely with project managers, foremen, and vendors to keep projects organized, on schedule, and properly documented.
Responsibilities
+ Support project managers with administrative and operational tasks across active construction projects.
+ Process and track requests for information (RFIs), change orders, and submittals to ensure timely completion and accurate documentation.
+ Maintain organized and up-to-date project files, logs, and correspondence for multiple job sites.
+ Coordinate closely with field teams and foremen to assist with scheduling, material deliveries, and project timelines.
+ Assist in managing vendor communication and ensure materials are delivered according to project needs and schedules.
+ Support accounts payable functions, including processing invoices and working within Quick Books.
+ Monitor project progress and follow up on outstanding items to help keep projects on track.
+ Communicate effectively with internal teams, subcontractors, and suppliers to support smooth project execution.
Essential Skills
+ Prior experience in construction, preferably in a project coordination or administrative support role.
+ Strong understanding of construction documentation processes, including RFIs, submittals, and change orders.
+ Experience using Quick Books for invoice processing and accounts payable support.
+ Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
+ Strong organizational skills with the ability to manage multiple priorities simultaneously.
+ Excellent verbal and written communication skills with the ability to collaborate across teams.

Skills & Qualifications
+ Bilingual skills are preferred to support communication with diverse field teams and vendors.
+ Experience using project coordination tools and construction administration software such as Procore.
+ Familiarity with scheduling and project tracking in a construction environment.
+ Ability to build strong working relationships with project managers, field staff, subcontractors, and suppliers.
+ Interest in long-term career growth within a stable, family-oriented construction organization.
Work Environment
This role is fully on-site, working five days per week in a construction-focused environment. You will collaborate closely with office and field teams, supporting multiple job sites and working with tools such as Procore, Quick Books, and Microsoft Office. This is a Contract to Hire position based out of Fairfield, NJ.
Pay and Benefits
The pay range for this position is $25.00 - $35.00/hr.
