We are seeking a highly skilled Executive Assistant to provide comprehensive administrative support to our executive leadership team, ensuring efficient operations for the executive work routine and promotion of the organization’s mission, vision, and values.
Job Duties & Responsibilities- Work directly with the CEO to support all aspects of their daily work routine.
- Maintain the CEO and other executive level staff calendar, including meetings, appointments, speaking engagements, and travel arrangements, ensuring the CEO is aware of the schedule 24 hours in advance.
- Manage external contacts for the CEO, proactively understanding their priority and keeping track of periodic communication.
- Determine priority of matters requiring CEO attention; redirect to staff or handle personally as appropriate.
- Keep the CEO advised of time‑sensitive issues, ensuring appropriate follow‑up.
- Draft, review and send communications on behalf of company executives.
- Schedule executive and other meetings; assist in the preparation and distribution of meeting agendas and materials; attend to logistics and prepare minutes.
- Organize and prepare for meetings, gathering documents and managing logistics.
- Provide coordination, monitoring, and communication for projects managed by the Executive Team.
- Prepare presentations, reports, forms, and other documents by collecting and analyzing information.
- Ensure that all written materials are complete, concise, and error‑free through proper spelling, grammar, punctuation, and sentence structure.
- Maintain confidentiality of sensitive information obtained during assignments.
- High school diploma required; bachelor’s degree is preferred.
- Minimum of 2 years of administrative support experience in a similar role.
- Experience in mental health or healthcare industry is a plus.
- Excellent verbal communication skills, active listening, reading comprehension and writing.
- Sound judgement, prioritization, and decision‑making ability.
- Proficient computer skills, including Microsoft Office Suite.
- Exceptional writing, editing, and proofreading skills.
- Excellent organization and time‑management skills.
- Ability to remain calm, flexible, proactive, and resourceful under pressure.
- Ability to work independently, exercise creativity, be attentive to details, and maintain a positive attitude.
- Ability to manage and prioritize multiple assignments.
- Ability to maintain confidentiality of sensitive information.
