Our Commercial Lines Administration department seeks an administrative assistant II - III. This role is responsible for delivering high-level administrative and operational support to daily departmental functions and leadership. This position requires expertise in reporting and data analysis, workflow coordination, calendar and task prioritization, stakeholder communication and customer relationship management, along with advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), collaboration platforms and presentation tools.
This full-time, nonexempt position is based at our Headquarters in Fairfield, Ohio.
The pay range for this position is $22.00 - $28.00 per hour. Pay is determined based on the applicant's education, experience, location, knowledge, skills and abilities. Eligible associates may also receive an annual cash bonus based on company and individual performance.
Be ready to:
* manage calendars, travel logistics and expense reporting for leaders using expense management and scheduling tools
* plan, coordinate and execute meetings, conferences and corporate events, including departmental meetings, vendor engagements and training sessions
* coordinate Commercial Lines recruiting logistics, including scheduling interviews, managing candidate communications and partnering with Human Resources
* develop, format and review reports, dashboards, presentations and business communications for leadership using Excel, PowerPoint and reporting tools
* support content development and recording of training materials, including virtual learning modules and onboarding resources
* execute complex, non-routine administrative projects requiring critical thinking, problem-solving and adherence to tight deadlines
* serve as records management coordinator, ensuring compliance with document retention policies, corporate governance standards and audit readiness
* administer and track departmental allocations, including company condo scheduling, event tickets, recognition programs and parking/garage assignments
* independently manage ad-hoc projects and operational initiatives to support departmental efficiency and continuous improvement
* maintain on-site presence during core business hours to support leadership and cross-functional collaboration
Be equipped with:
* exceptional written and verbal communication skills, including professional business correspondence and stakeholder engagement
* strong command of grammar, proofreading and document quality control, with high attention to detail and accuracy
* demonstrated ability to handle confidential, sensitive and proprietary information with discretion and professionalism
* proven ability to build and maintain cross-functional relationships with internal teams, leadership and external partners
* advanced organizational, time management and project coordination skills in a fast-paced business environment
* ability to work independently, manage competing priorities and meet deadlines with minimal supervision
* strong multitasking and prioritization capabilities, managing multiple projects simultaneously
* advanced proficiency in Microsoft Office (Excel, Word, PowerPoint), Microsoft Teams, SharePoint and collaboration/workflow tools
