We’re Looking For
Rock Creek Foundation is seeking a full-time Administrative Coordinator to join our team in Silver Spring, MD. This role requires strong organizational skills, a person-centered approach, and excellent communication abilities. Candidates should be responsible, reliable, have a good work ethic. They should be able to work effectively as part of a team and have access to a personal vehicle for business-related travel.
WhatYou'll Do
- Retrieves voicemail messages and forwards them to appropriate personnel in a timely manner
- Serves as the primary administrative support for Plum Orchard programs, including DDA and MHA
- Responds to inquiries related to Developmental Disabilities and Mental Health programs and routes requests appropriately
- Coordinates intake assessments and manages administrative intake processes for DDA and MHA programs
- Maintain program waitlists, admission documentation, and related correspondence
- Supports interdepartmental communication and assists program leadership across service lines
- Answers incoming telephone calls, determines caller needs, and directs calls to the appropriate personnel or department
- Takes and relays messages or transfers calls to voicemail when staff are unavailable
- Responds to general inquiries regarding the organization and provides addresses, directions, and other relevant information
- Greet on-site visitors, determines the purpose of visits, and notifies appropriate personnel
- Monitors visitor access and issues visitor passes in accordance with office procedures
- Receives, sorts, and distributes incoming mail and routes internal publications as needed
- Performs general clerical duties, including filing, photocopying, scanning, and collating documents
- Maintains and distributes updated telephone directories
- Schedule conference room usage for meetings as requested by staff
- Ensures the reception area is maintained in a clean, organized, and professional manner
- Issues visitor badges and directs visitors to the appropriate sign-in location
- Schedules intake assessments, collaborates with the intake team, makes recommendations to appropriate team members, and coordinates consumer trial visits
- Maintains departmental waitlists and distributes admission decision documentation as required
- Conduct quarterly meetings with family members and assists in the development of family support services
- Assists departments with the development and coordination of virtual support services
- Coordinates and plans large-scale company events, including holiday celebrations and Family and Friends Day
- Attends all mandatory meetings as required
- Transports individuals using a personal vehicle, as necessary and in accordance with company policy
- Reviews and responds to work email at the beginning and end of each shift
- Participates in and successfully completes all required trainings
- Assists with quarterly chart audits
- Monitors daily attendance and submits required information to the Finance department
- Assists with supply purchasing, inventory management, and credit card reconciliation
- Performs other related duties as assigned
- 2 year experience.
- Must be able to speak English fluently.
- High school diploma or general education degree (GED).
- Must have access to a personal vehicle for business purposes and possess a valid driver’s license with less than two (2) points as well as current automobile insurance.
