Job SummaryThe Accountant I position is responsible for district bookkeeping tasks such as accounts payable, accounts receivable, reconciliations, journal entries, banking reconciliations, and supporting other staff during peak workload demands. Supports and takes direction from Financial Services management to provide timely and accurate accounting for various district funds and programs (e.g., general fund, grant funds, student activity funds). Other duties include training and supporting school and bookkeeping staff with accounting and policy questions related to district funds and programs.
The role requires constant attention to a high volume of work that must be completed within limited time and according to deadlines.
- Process vendor invoices, reconcile statements, and prepare cost allocations for various periodic billings, including district purchasing card program statements.
- Classify, record, and balance revenue and expenditures to proper accounts; research and follow up on delinquent or unpaid accounts per established procedures.
- Input bank deposits, reconcile bank statements, and ensure agreement with the general ledger; coordinate outreach for outstanding checks and payments and submit unclaimed property reports per policy.
- Investigate irregularities and recommend corrective measures to protect district financial interests.
- Monitor daily cash flow and perform cash transfer responsibilities for assigned funds.
- Monitor accounting activities for student activity funds, school athletic funds, building use, food service, and similar funds.
- Prepare, review, and post journal entries for disbursements, receipts, and adjustments, ensuring proper documentation.
- Prepare timely month‑end reconciliations and journal entries for all accounts, including income statement and balance sheet as assigned.
- Assist and train school and department staff in financial systems and report access.
- Monitor and reconcile general ledger activity, subsidiary systems, and balances; support fixed asset accounting, including capital expenditure reporting and analysis.
- Maintain knowledge of federal, state, and local laws for school accounting and grant accounting.
- Support upkeep of the chart of accounts, including creation and closing of account codes.
- Monitor charges for reasonableness and compliance with district policies and procedures.
- Ensure required documentation and approvals comply with district policies and procedures.
- Research issues, prepare invoices, and claim funds for special revenue expenditures.
- Support annual audit procedures by preparing required documentation, work papers, and reports.
- Prepare or assist in preparing fiscal reports for grant‑funded programs and ensure timely submission; may assist with grant applications.
- Track and update district fixed asset schedules and inventory records.
- Assist with budget preparation and monitor budget reports, including monthly reconciliation of student activity funds.
- Coordinate district travel requests, make reservations and payments, manage the travel system, and submit expense reimbursements in compliance with federal rates.
- Complete a high volume of data entry requiring speed and accuracy, using various technology and software, in an environment with constant interruptions.
- Assist in automation projects and recommend modifications/improvements to finish system application.
- Complete special projects and other duties as assigned.
- Maintain and secure confidential records and inquiries; ensure compliance with document retention laws and policies.
- Represent the school and the district professionally in interactions with parents, community, staff, and students.
- Troubleshoot office equipment (copy, fax, etc.).
- Other related duties may be assigned.
- Assist in other functional areas for relief coverage and to maintain schedules.
