Job Title

Accounting Analyst III

Job Summary

Responsible for assisting Financial Services management staff with accounting and maintaining records for various District funds and programs (e.g., general fund, grant funds, student activity funds). Performs general accounting tasks, reporting and ensuring compliance, budgeting, audit, periodic reporting, cash management, reconciliations, and supporting tasks to complete timely and accurate financial reporting. Provides training and support to school and bookkeeping staff with accounting and policy questions.

Works with daily pressures, requiring constant attention to a volume of work to be completed within limited time frames and deadlines.

Essential Job Functions
  • Close timely month‑end reconciliations and journal entries for all accounts, including income statement and balance sheet.
  • Perform daily cash management, including projection, investment recommendations, maintaining check signers, and banking services.
  • Monitor and reconcile general ledger activity, subsidiary systems and balances; account for fixed asset accounting, including capital expenditure reporting and analysis.
  • Maintain a working knowledge of federal, state, and local laws for school accounting and grant accounting.
  • Support upkeep of the chart of accounts, including creation and closure of account codes.
  • Monitor charges for reasonableness and compliance with District policies and procedures.
  • Ensure required documentation and approvals comply with district policies and procedures.
  • Prepare various reconciliations in support of monthly, yearly, and other periodic reporting.
  • Perform bank reconciliations for various District accounts.
  • Prepare journal entries and corrections with required documentation.
  • Research issues, prepare invoices, and claim funds for the support of special revenue expenditures.
  • Support annual audit procedures by preparing required documentation, work papers, and reports; researching issues; and compiling information for auditors.
  • Prepare or assist in the preparation of all applicable fiscal reports for grant‑funded programs and ensure timely submission; may include assisting with grant applications.
  • Coordinate with key personnel at all levels of the District to support proper and timely expenditure of grant funds in compliance with applicable guidelines and budget deadlines.
  • Enter revenue and deposit transactions into the accounting system, including preparing invoices and applying payments to close invoices.
  • Monitor aging invoices and follow up for timely collection of revenue.
  • Assist and train school and department staff with using financial systems and accessing reports.
  • Track and update District fixed asset schedules.
  • Track and update District inventory records.
  • Assist with budget preparation and monitor budget reports, including ensuring monthly reconciliation of student activity funds.
  • Coordinate district travel requests, including making reservations and payments, managing travel system, and submitting expense reimbursements in compliance with federal rates.
  • Complete a high volume of data entry requiring speed and accuracy, with skill on various technology and software, in an environment with constant interruptions.
  • Assist in automation projects and recommend modifications/improvements to complete system applications.
  • Provide technical support to school and department bookkeepers and secretaries as related to school accounting.
  • Complete special projects and other duties as assigned.
  • Appropriately maintain and secure confidential records and inquiries, and ensure compliance with document retention laws and policies.
  • Represent the school and District professionally in interactions with parents, community, staff, and students.
  • Troubleshoot office machinery (copy, fax, etc.).
Other Job Functions
  • Assist in other functional areas of the department as necessary for relief coverage and to maintain schedules.
  • Attend meetings and perform other duties as assigned.
