New England Wildlife Centers is seeking a detail oriented and personable Administrative Assistant to support operations at our Cape Cod wildlife hospital location. This position plays an important role in helping our team stay organized, connected to our supporters, and responsive to the growing needs of the organization.
This is a part time position based primarily at our Cape Cod location, generally 3–4 days per week (approximately 24 hours weekly), with some flexibility in scheduling. This role is currently on-site, with potential for hybrid flexibility in the future.
The ideal candidate is organized, professional, comfortable communicating with donors and the public, and able to balance administrative responsibilities with a mission driven and fast paced environment.
Responsibilities- Processing incoming gifts and donations
- Preparing deposits and entering gifts into our donor database (Little Green Light)
- Managing online giving platforms including Stripe and preparing monthly giving reports
- Writing, proofreading, and sending donor thank you letters and tax acknowledgment letters
- Keeping donor correspondence fresh, thoughtful, and engaging using stories and updates from the hospital
- Assisting with in memory gifts, including occasional communication with families and donors
- Maintaining organized files and records, including financial records and invoices
- Managing permit and inspection records, maintaining organized permit binders, and tracking renewal/Final date to receive applicationss
- Ordering and maintaining office supplies and inventory
- Providing occasional front desk and operational support to hospital staff
- Assisting with events including educational talks, open houses, donor events, and annual fundraisers
- Assisting with training course registration, attendee tracking, and payment processing
- Working closely with the hospital staff, development team, Medical Director, and CEO to support daily operations and organizational initiatives
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Comfortable speaking with donors, supporters, and members of the public by phone and email
- Ability to write and proofread professional correspondence
- Ability to manage multiple projects and deadlines simultaneously
- Experience with donor databases, bookkeeping, administrative support, or nonprofit operations preferred
- Experience with Little Green Light, Stripe, or similar platforms is a plus
- Comfortable working in a collaborative, mission-driven environment
