Overview
Harvard Medical School seeks a Program Development Coordinator within the Office for External Education. The role provides administrative coordination for an ongoing portfolio of accredited education programs, supporting all phases from marketing and course development through program delivery. The coordinator works closely with course directors and administrators from 16 affiliated hospitals and the Continuing Education internal staff, delivering excellent customer service and ensuring appropriate level of support for each program.
The position uses a production checklist and project-management tools, and requires comfort using various technology formats to meet competing deadlines. The role collaborates with vendors and customers and reports to the Director of Continuing Education and Accreditation.
- Manages a portfolio of accredited programs from course approval through all aspects of course production, including marketing and website development.
- Creates website landing pages based on conversations with course directors and staff.
- Develops an email marketing process using office technology tools.
- Keeps abreast of new technology and collaborates with the Online Learning and Development team on implementation.
- Resolves course logistics and technology problems and recommends system improvements.
- Independently manages deliverables to the course director community during the life of a course/activity, coordinating with the administrative coordinator team.
- Manages marketing aspects for approved programs, including collecting documents from course directors, reviewing marketing plans, providing feedback on marketing materials, and procuring mailing/email lists.
- Manages marketing purchase orders and invoices and coordinates with finance for timely payment.
- Ensures marketing deliverables are completed within agreed timelines with HMS-DCE leadership and course directors/staff.
- Provides high level of customer service to internal staff and external clients; collaborates with course directors to design and complete course logistics.
- Communicates effectively via meetings, email, and phone with clients, internal staff, and external vendors.
- Acts as departmental liaison for course directors/administrators on university/ DCE/ AMA/ ACCME policies.
- Supports live courses with a wide range of complex administrative duties and coordinates with the DCE accreditation staff on course approvals.
- Keeps internal staff informed of relevant course developments.
- Reviews and monitors course components to ensure AMA/ACCME compliance.
- Updates course activity files for accreditation documentation as needed.
- Works with accreditation staff to identify compliance vulnerabilities and recommend corrective measures.
- Advises course directors and administrators to ensure compliance with university and ACCME policies.
- Stays current on ACCME policies and criteria.
Additional duties as needed to support program development and delivery.
Qualifications Basic Qualifications- 4+ years of program, project-management, event, or conference management experience in a professional setting is required.
- Higher education may count toward experience.
- BA/BS strongly preferred.
- Demonstrated customer service experience and strong written communication skills.
- Ability to prioritize workload, multitask, and take initiative in a deadline-driven, fast-paced environment.
- Ability to work independently and in a team.
- Proficiency with Microsoft Excel and other Office Suite applications.
- Ability to learn and implement new software applications (Salesforce, Marketing Cloud, and Cvent preferred).

Schedule:
40 hours per week, Monday–Friday, 8:00 am – 5:00 pm. - Visa Sponsorship Information:
