Position Overview
Churchill County Social Services is seeking full‑time Office Specialists to support the Essential Services location and the William N. Pennington Life Center. The role involves independent judgment, technical proficiency, and a strong understanding of departmental procedures.
Key Responsibilities- Demonstrates regular, reliable and punctual attendance.
- Performs specialized office support work that requires independent judgment and technical skills.
- Uses a computer to develop and manage databases, spreadsheets, and report formats.
- Researches and assembles information from multiple sources, performs arithmetic or statistical calculations.
- Conducts specific projects related to the department or office, may obtain and/or provide information from other organizations, summarize such information, and prepare recommendations.
- Provides information to the public or to County staff that requires the use of judgment and interpretation of policies, rules or procedures.
- Organizes, maintains and purges various departmental files.
- Prepares and types correspondence, reports, forms, contracts, and specialized documents; may provide secretarial support on a relief basis.
- Proofreads and checks typed and other materials for accuracy, completeness, and compliance with departmental policies and regulations.
- Enters and retrieves data, prepares reports, and operates standard office equipment.
- Oversees and personally performs a variety of office administrative details such as entering employee time, preparing purchase requisitions, arranging for repair of equipment, transmitting information, and keeping reference materials up to date.
- Contributes to the efficiency and effectiveness of the department’s service to its customers by offering suggestions and participating actively in a work team.
- Acts as receptionist as needed, receives and screens visitors and telephone calls, and directs callers to the proper person or personally handles the call.
- Receives incoming calls and coordinates scheduling of services and appointments.
- Represents the County with dignity, integrity, and a spirit of cooperation in all relationships with staff and the public.
- Education and Experience: High school diploma and two (2) years of administrative support experience, or an equivalent combination of education, training, and experience.
- Knowledge:
- Policies and procedures of the assigned department.
- Use of specified computer applications involving word processing, data entry, and report generation, as well as department‑specific software.
- Business arithmetic.
- Applicable regulations, policies and statutes.
- Office administrative practices and procedures.
- Business letter writing and standard typed format.
- Record‑keeping principles and practices.
- Spelling, grammar, and punctuation.
- Techniques for dealing with the public in person and over the telephone.
- Skills:
- Performing administrative support work in assigned areas or disciplines.
- Reading and explaining rules, policies, and procedures.
- Analyzing and resolving varied office administrative problems.
- Organizing, maintaining and researching office files.
- Compiling and summarizing information and preparing periodic or special reports.
- Using initiative and independent judgment within established procedural guidelines.
- Organizing own work, setting priorities and meeting deadlines.
- Contributing effectively to team or department goals and activities.
- Establishing and maintaining effective work relationships with staff, coworkers, and the public.
- Required Certificates:
- NV Notary Public certificate may be required.
- NV driver's license may be required.
- Typical office setting, use of standard office equipment.
- Stamina to sit for extended periods.
- Strength to lift and carry up to 20 pounds.
- Vision to read printed materials and computer screens.
- Hearing and speech to communicate over the telephone and in person.
- Continued employment is contingent upon maintaining required licenses and certificates.
- Background investigation and, if hiring for a safety‑sensitive position, a drug/alcohol screen.
- Participation in E‑Verify and completion of Form I‑9.
- Pension: 36.75% employer contribution to the Nevada Public Employees' Retirement System (PERS).
- Health insurance: 100% employer‐paid employee‑only premiums.
- No Social Security deduction; 6% take‑home pay increase.
- Vacation: 8 hours per month for full‑time employees.
- Sick leave: 10 hours per month for full‑time employees.
- 12 paid holidays per year.
- Additional benefits: tuition reimbursement up to $1,200 per year for accredited courses.
