As the Scheduling Coordinator you will oversee the scheduling and coordination of client services, manage staffing assignments, ensure compliance with agency policies and regulations, and maintain confidentiality of client and employee information. We’re looking for a scheduler who is steady, organized, and dependable — someone who likes working with structure but is also comfortable handling changes as they come in throughout the day.

This role is best suited to someone who communicates clearly, follows established processes, and takes responsibility for keeping the schedule accurate. You’ll be working onsite in our Falls Church office and coordinating caregivers who travel to individual client homes across multiple towns.
Experience in Home Care scheduling is preferred.
- Maintain an accurate, up-to-date schedule for caregivers and clients.
- Handle incoming calls and updates from caregivers, clients, and referral sources.
- Adjust schedules throughout the day as cancellations, call-outs, and new needs arise.
- Use a scheduling software to document notes, update shifts, monitor clock-ins/clock-outs, and maintain compliance.
- Prioritize clients with high needs or required coverage.
- Communicate changes to the office team in a clear and timely way.
- Follow templates, procedures, and documentation standards consistently.
- Notice issues early and bring forward solutions before they become larger problems.
- You stay calm and organized when several things come in at once.
- You like having a routine and clear processes to follow, but you will need to adjust when needed.
- You communicate in a straightforward, respectful way — clear, concise, and steady.
- You follow through reliably on tasks and keep things accurate.
- You’re comfortable calling caregivers and clients when something needs to be addressed.
- You think ahead and naturally keep track of what needs attention next.
- 1+ years of Home Care experience, either as a caregiver or an office employee
- Strong phone communication and confidence speaking with caregivers and clients.
- Ability to manage a steady flow of changes in a structured and organized way.
- Attention to detail with strong follow-through.
- Experience using home care scheduling systems is preferred
- Proficiency in computer software and tools including scheduling software, with Microsoft Office or Google Suite
- Ability to work onsite in our office Monday–Friday.
- Knowledge of HIPAA regulations and commitment to maintaining confidentiality
- You will be expected to answer phone inquiries as needed
- Performs on-call coordinator duties as needed.
