Creative Cauldron Stage, an award-winning non‑profit theater located in the City of Falls Church, is seeking a dynamic, full‑time Managing Director. The Managing Director position is a shared leadership position in partnership with an Executive and Artistic Director. Managing Director is responsible for directing and supervising day‑to‑day administrative duties, and overseeing financial and facilities management, annual development campaign, and front‑of‑house activities.

Administration
  • Supervise daily administrative operations and collaborate with Artistic Director in executing the season.
  • Personnel Management, including but not limited to:
    • Maintain employee records and job descriptions.
    • Maintain all theater documents including the employee handbook.
    • Supervise House Management Team including Box Office and Concessions Manager.
    • Procure duty timelines from all staff members and create an annual production calendar.
    • Manage all insurance and facilities maintenance contracts with vendors.
  • Collaborate with bookkeeper on overall financial management.
  • Track all accounts payable and receivables with bookkeeper oversight.
  • Track Box Office & Concessions and House Manager hours and submit bi‑weekly payroll requests to bookkeeper.
  • Provide financial documentation for the annual audit and 990s and ensure timely completion.
  • Manage weekly in‑house reconciliation (income and expenses) with bookkeeper and make bank deposits.
  • Track and file all expense receipts for easy audit purposes.
  • Manage all banking and vendor relationships.
  • Develop and track the annual budget in conjunction with Executive and Artistic Directors.
Development
  • Coordinate and contribute to the writing of grants, in conjunction with Executive and Artistic Directors.
  • Review all grant proposals and final reports.
  • Develop and execute an annual fundraising campaign plan, including season sponsor ships in conjunction with Executive Director.
  • Maintain and update the donor database.
  • Write thank‑you letters to donors to be signed by Artistic Director.
  • Send gift certificates to various charities as requested and track usage.
Board Relations
  • In conjunction with Executive and Artistic Directors, maintain relationships with the Board of Directors.
Advocacy
  • Build a positive relationship with community volunteers, donors, sponsors, public officials, and other arts organizations.
  • In conjunction with Artistic Director and Executive Director, present the public face of the theater and, when called upon, speak to private and public organizations and the press.
Facilities Management
  • Oversee the operation of the facility, including restocking of office and break‑room supplies.
  • Supervise all annual maintenance contracts for HVAC and cleaning.
  • Contract vendors for emergency and long‑term maintenance needs (e.g., plumbing, painting, annual bulk trash removal).
Production Support
  • Work closely with Artistic Director to provide administrative services for the production process.
  • Create actor, musician, and production team contracts, distribute and collect paperwork.
  • Manage financial payment of all production staff in conjunction with bookkeeper.
  • Create guest artist contracts for the concert series, distribute and collect paperwork.
  • Provide guest artists with final box‑office reports and distribute payment checks.
  • Supervise over hire time sheets for technical artists in conjunction with Resident Scenic Designer and Production Stage Manager, collect W‑9s and distribute payment checks.
Qualifications
  • College degree or equivalent experience.
  • Preferred 3‑5 years working in an arts organization.
  • Preferred arts management training.
  • Commitment and passion for the performing arts and diversity, equity and inclusion goals.
  • Strong organizational development and management skills.
  • Proven leadership and relationship management experience.
  • Preferred proven track record as a fundraiser.
  • Strong written and verbal communication skills.
  • Persuasive communicator with excellent interpersonal skills.
  • Understanding of finance and managerial accounting.
